Role Relationships
Administrative Support Staff for Early Intervention Technical Assistance (EITA), Parent to Parent of PA (P2P) and Family Engagement and other special projects as assigned by the Director. The Administrative Support Staff shall be directly responsible to the Program Director of EITA for supervision and evaluation. This Administrative Support Staff shall work collaboratively with the Director for Parent to Parent of PA and Family Engagement.
Fundamental Duties/Essential Functions
- Provide onsite support as needed at EITA, P2P and Family Engagement assigned meetings and trainings.
- Check and process staff, family, and contracted speaker reimbursements accurately and in timely manner for EITA, P2P and Family Engagement and other assigned special projects.
- Maintain current inventory of publications and resource materials available in Harrisburg office/TIU for EITA, P2P and Family Engagement, and other assigned special projects.
- Prepare materials such as, but not limited to; binders, packets, handouts, publications, letters, Outreach/Peer Supporter packets and rack cards for dissemination or mailing at the request of EITA, P2P and Family Engagement and other assigned special projects.
- Process purchase orders for EITA, P2P and Family Engagement, and other assigned special projects.
- Provide support to the State Interagency Coordinating Council (SICC) including meeting preparation, meeting attendance and onsite support as requested. Provide written minutes from the SICC meetings held 6 times a year.
- Assist the EITA Director with updates to the staff scheduling database and checking staff schedules for documentation of appropriate absences.
- Provide support for the EITA staff evaluation process through the distribution of surveys to peers and local EI programs at the request of the EITA Director or Assistant Directors.
- Assist P2P/Family Engagement with the delivery of identified projects such as but not limited to Competence and Confidence, Partners in Policy Making trainings including managing applications, references, and reimbursements.
- Support EITA Assistant Directors with communications related to EI initiatives and priority supports.
- Support EITA Assistant Directors with data requests related to EI initiatives and priority supports.
- Maintain technology inventory for EITA, P2P and Family Engagement, and OCDEL staff and other special projects as assigned.
- Responsible for technology transfer documentation for EITA, P2P and Family Engagement, OCDEL staff and other special projects as assigned.
- Track, by spreadsheet, attendance at virtual events for assigned special projects.
- Support as needed for EITA, P2P and Family Engagement and other assigned special projects.

- Ability to orally communicate well in English using the telephone, email and in all personal contacts with staff, families and the public.
- Ability to work with confidential databases with HIPPA requirements.
- Ability to present ideas logically in writing to include good proofreading, spelling and written grammar skills.
- Ability to present oneself in a business-like manner to a range of audiences (state staff, consultant staff, presenters, professionals in the field).
- Experience with Microsoft Word, Excel, Filemaker and Google Drive and perform at a beginner to intermediate skill level. A test may be required to demonstrate skills for some programs.
- Ability to operate identified electronic communication programs such as Microsoft Outlook or similar programs in a proficient manner.
- Ability to perform with efficiency and a high level of accuracy in all office procedures.
Qualification Standards
- Education: High School/GED diploma required.
- Experience: A minimum of two years as an Administrative Assistant or the equivalent.
