Operations Manager
Reports directly to Director of Operations
Job Purpose
The Operations Manager has a pivotal role designed to ensure the seamless execution of contracts and operations within our dynamic aviation environment. This position is tasked with overseeing the end-to-end operational processes, from receiving contract handovers to managing post-operation documentation. The primary purpose of the role is to facilitate effective communication, collaboration, and coordination among various teams and stakeholders. The Operations Manager plays a crucial part in maintaining accuracy in contractual and operational documents, adhering to project timelines, and building strong relationships with clients and partners. The overarching goal is to contribute to the success of our operations by implementing efficient plans, responding adeptly to changing requirements, and upholding the highest standards of accuracy and professionalism. This role is instrumental in ensuring the operational excellence of our services, fostering a collaborative team environment, and delivering outstanding customer satisfaction.

Responsibilities
- Receive contract and operations handovers from sales.
- Create and attach Contract Summaries to operational software.
- Confirm accurate Company profile creation and maintenance.
- Request account creation from the Accounts department.
- Build Rate Sheets in operational software for transparent pricing.
- Construct concise Operations Briefs for Job-Based missions.
- Create CAP and set minimums for each job.
- Conduct internal debriefs, implement improvements post-operation.
- Compile expenses and invoices within 24 hours of job completion.
- Obtain approvals from stakeholders, including Chief Pilots, FAA, GM/Owners, and Sales/Contract Delivery.
- Generate Booking Handovers for Project Managers, ensuring smooth transition.
- Promptly respond to non-standard Job Booking Requests for recurring clients.
- Contact designated client contacts for ongoing missions, ensuring effective communication.
- Oversee contract compliance, ensuring adherence to rates, terms, and customer information.
- Compile succinct contract summaries with rates, terms, and contact details.
- Educate clients on service engagement with necessary documentation and training.
- Coordinate with project management for exact operational details, including dates, locations, and lift/weight requirements.
- All other duties as assigned.
Qualifications
Credentials & Experience
- Legally eligible for employment in the United States of America
- Hold a valid driver’s license
- Background check
- Proven experience in project management
- Basic knowledge of aviation regulations, especially in coordination with FAA requirements preferred
Physical Demands & Work Environment
- Ability to work outdoors and indoors for extended periods of time
- Ability to walk, stand, and sit for extended periods of time
- Ability to lift or carry 50lbs
Additional
- Ability to read and write the English language
- Basic computer skills required
- Proven ability to collaborate with cross-functional teams and work effectively in a team-oriented environment
- Ability to build and maintain relationships with clients, partners, and stakeholders
- Strong project management skills, including the ability to develop and execute plans, timelines, and milestones
- Strong attention to detail to ensure accuracy in contract summaries, profiles, and other operational documents
- Flexibility to respond to non-standard job booking requests and adapt to changing operational requirements
- Strong analytical thinking and problem-solving skills
- Experience with Microsoft Products preferred
