Job Summary:
The Administrative Assistance for Environmental Health & Safety will organize and maintain training records as well as conduct DOT onboarding record management for all Company drivers.
Duties/Responsibilities:
- Liaison with both the Human Resource Department and the Environmental Health & Safety Department for document management associated with onboarding new employees.
- Perform phone screening of applicants for associated work history and previous DOT employer work history verification.
- Schedule driver physicals and drug testing when needed.
- Adheres to and assists with recordkeeping/digital files management associated with driver qualification files.
- Coordinate and organizes schedules, meetings, appointments and maintain calendars.
- Assist with generation of presentations and development of training using Microsoft PowerPoint and Microsoft Publisher
- Coordinates purchases of PPE and departmental supplies
- Coordinates training events and logistics
- Generates and develops departmental forms and templates.
- Performs internet research for training and auditing subjects or other assigned topics.
- Perform administrative and clerical support tasks.
- Resolve administrative challenges; communicates solutions and makes recommendations for changes.
- Submits and reconciles expense reports.
- Perform any other tasks and duties as requested, directed, or assigned to support and improve the overall team operations.
- Must supervise own work and be self-motivated.
Administrative Requirements:
- Strong time management, organization, and communication skills; detail-oriented
- Solid judgment, foresight, problem-solving, analytical, and business acumen skills; strong attention to details
- Able to multitask effectively.
- Proficient in Microsoft Office suite including WORD, EXCELL, POWERPOINT and PUBLISHER, ADOBE ACROBAT, and social media posts software.
- Be able to work with technology and learn various software systems quickly.
- Self-motivated with the ability to work as a team member on a broad variety of projects.
- Type minimum 40 words per minute
- Must be able to communicate effectively with driver applicants via telephone.
- Ability to speak, write, and follow instructions and read the English language.
- Ability to demonstrate moral character, honesty, tact, fairness, patience, lack of prejudice and desire to help when dealing with people of varying social, cultural, and economic backgrounds; creates and promotes a harmonious work environment.
- Ability to perform in a professional appearance and manner.
- Able to establish and maintain healthy working relationships with people.
- Bilingual English/Spanish preferred

Education and Experience:
- High School Diploma or equivalent
- Associate/Degree Preferred
Physical Requirements:
- Required to lift up to 30 lbs on an infrequent basis.
- While performing the duties of this job, the employee is frequently required to sit, stand, talk and hear.
- Prolonged periods of sitting at a desk. May be subject to sitting for long periods of time to perform job scope.
- Regularly required to sit, stand, bend, reach, and move about the facility.
- Specific abilities required by this job include close vision, distance vision, depth perception, and the ability to focus.

- Background checks and drug tests required.
- Maintaining a valid driver’s license with appropriate endorsements and a clean driving record is required.
- Work will generally be performed in an office environment.
- May be exposed to shop elements such as noise, dust, odors, fumes, and oils.
- Will be subject to sitting or standing for long periods of time to perform job scope.
- May be required to work hours other than the regular schedule.

Pay: $15.00 - $18.00 per hour
