Position Summary:

Provides advanced level administrative support to Assistant Chief of Police and other leaders as assigned. Performs complex administrative duties. Composes formal and informal correspondence. Creates and formats presentations. Coordinates human resources activities for the department. Interprets institutional policies for employees. Ensures timely submission of required deliverables of Division iniatives by tracking stages, developing appropriate reporting mechanisms, alerting stakeholders and initiating response processes. Develops and determines priorities and monitors status of special projects. Directs and coordinates all project activities through delegated subordinates and establishes budget control systems to control expenditures. Special projects including planning and implementing information systems and/or grant and contract preparations. Assists in strategic planning for department. Coordinates functions including maintenance of physical plant, physical inventory and space planning.

Position Key Accountabilities:

  • Provides administrative support to department leadership as assigned.
  • Effectively manages calendars, conference/meeting agendas, and presentation materials and independently prioritizes, plans, coordinates, and oversees logistics for meetings with individuals and entities internal and external to the division.
  • Uses effective communication strategies to address meeting conflicts, confirmation of completed requests and meeting reminders.
  • Prepares and coordinates travel itineraries and reimbursement expense reports.
  • Serves as subject matter expert and holds technical expertise in administrative functions related to training/travel requirements and reimbursement processes, timekeeping and general office technologies.
  • Oversees the travel request and reimbursement processes for assigned service line, ensuring proper business justification and appropriate supporting documentation and completes travel-related requests in a timely manner.
  • Assists in the general day-to-day administrative processes, maintaining assigned data sources accurately and in a timely manner.
  • Assists with departmental conference/town hall planning and logistics and facilitates meetings as needed.
  • Provides backup support for administrative support staff. Partnered with other administrative support staff to prepare meeting presentations, event/conference/meeting planning, and logistics coordination.
  • Creates and maintains desk manuals for administrative support functions designed to inform backup support in times of planned/unplanned absence.
  • Facilitates cross-training within the administrative team and creates continuity of administrative services.
  • Assists the department administrator and operations manager by coordinating administrative service line processes and strategic initiatives.
  • Participates and assists in recruiting operations by assisting in panel interviews.
  • Assists in strategic planning initiatives as assigned.
  • Other Duties as Assigned Other duties to include, but not limited to, emergency recall and/or may be required to remain onsite or work extended hours during man-made or natural disasters and unusual occurrences on campus. Local or long distance travel may be required for training or other business purposes occasionally.

None.

Minimum Education:

High School Diploma or Equivalent required. Associate's degree or Bachelor's degree preferred

Minimum Experience:

Five (5) years of administrative/secretarial experience.

With preferred Associate's degree, three (3) years of required experience and with preferred Bachelor's degree, one (1) year of required experience.

Salary Range:

Minimum: $44,568

Mid-Point: $55,704

Maximum: $66,852

Physical Requirements:

May remain in a sitting position constantly. May require constant walking. May transport an object, usually holding it in the hands or arms, or on the shoulder up to 50 lbs. May require raising an object from one level to another including upward pulling (this includes holding an object in a static position), up to 50 lbs.

Residency Requirement:

Employees must permanently reside and work in the State of Texas.
