Program Overview:
NADAP's CareerCompass, one component in HRA's initiative to address the unique needs of improving employment and training outcomes in NYC, provides orientation, comprehensive and individual employability assessments and service coordination for adults 25 years of age and older. As the first step in HRA's programming, CareerCompass will identify and connect individuals to an education, training and/or employment track.
Job Title: Administrative Assistant
Job Summary:
Provide administrative support to CareerCompass program and management, complete various projects to assist in the achievement of program goals and provide support for the front desk. Provide assistance in the following areas: scoring of assessments, time keeping, attendance tracking.
Responsibilities
- Provide backup for reception and front desk coverage, as necessary.
- Responsible for attendance tracking and updating attendance in DTS on a daily basis
- Responsible for the collection of participants' timekeeping documents in both hard copy and electronic form, must read emails and check the fax machine daily to ensure all submitted documents are collected
- Responsible for collecting excused documentation from clients in designated workshop, will make copy documents and return original to client prior to workshop dismissal
- Generate the pending FTC and FTR list and distribute appropriately. Process FTR/FTC's daily following established processes and appropriate deadlines
- Review submitted documentation carefully to ensure it is in compliance with program policies and procedures
- Responsible for MetroCard Distribution to eligible clients and must obtain client signatures accurately on the MetroCard Log
- Reconcile MetroCard's daily with management to ensure accuracy of signature logs and card returns
- Assist with scanning and making copies for client and program needs
- Scan documents to the pending drive and upload to Credible, review scanning to ensure uploads are processed accurately
- Performs other duties as assigned.
- High school with a minimum of 1 year of office work experience
- Bachelor's degree preferred
- Experience working with similar client population is a plus
- Strong attention to details
M-F 8:30 to 4:30
