- Prepares, receives and processes standard materials appropriate to assigned department including correspondence, memos, agendas, minutes, charts, permits, legal documents, orders, requisitions, ordinances, reports, manuals.
- Maintains required files and records.
- Performs annual inventory of property/equipment as required. Maintains inventory of supplies.
- Prepares and processes requisitions, purchase orders, work orders, etc.
- Monitors and assists in controlling budget expenditures for division.
- Maintains communication with personnel using various methods
- Conducts a range of staff and/or operational support activities; may serve as a liaison with other departments on basic administrative and/or operational matters.
- Researches complaints and handles telephone calls.
- Keeps a variety of clerical and bookkeeping records. Reconciles accounts.
- Maintains petty cash fund and records on department collections.
- Greets the public and provides information requiring some knowledge of departmental policies and procedures. Makes appointments.
- Performs related work as required.
KNOWLEDGE, ABILITIES, AND SKILLS
- Knowledge of business English, math, standard office practices and procedures required.
- Ability to use a computer with word processing and spreadsheet software to produce reports.
- Experience with Microsoft Office Suite preferred.
- Ability to keep complex records and prepare reports.
- Ability to work independently and complete assigned tasks by stated deadline.
- Ability to deal with employees and the public with courtesy and tact.
- Ability to communicate verbally in person and on the telephone.
- Handles a wide variety of typing assignments which may be confidential in nature; operates a computer to enter data, draft, edit, revise, and print letters, tables, reports, and other materials.
- Ability to type 35 words per minute when tested.
High School graduate or equivalent diploma plus three years' office experience required. A combination of education and experience may be considered.
During occasions of local emergencies this position may be required to report to perform emergency tasks, which may result in extended work hours as well as extended periods of time away from family members. The Incident Commander and the employee's department Head will make the determination as to who will be required to work.
PHYSICAL REQUIREMENTS
The work is generally sedentary to light and may require exerting up to 50 pounds of force occasionally, and up to 25 pounds frequently to move objects.
Additionally, the following physical abilities are required:
- Balancing: Maintaining body equilibrium to prevent falling while walking, standing or crouching on narrow, slippery, or erratically moving surfaces.
- Fingering: Dexterity, primarily with fingers, as in picking, pinching, or typing.

- Pushing/Pulling: Ability to occasionally move objects up to 50 lbs.
- Reaching: Ability to extend hand(s) and arm(s) in any direction.
- Repetitive Motion: Substantial movements (motions) of the wrist, hands, and/or fingers.
