Administrative Assistant
RESPONSIBILITIES:
- Work with department managers/representatives to process documents created internally (new or revised) by Northern Labs’ through the standardized steps of Document Control, using the Doc Control module within the Unipoint software.
- Ensure all recording forms and procedures submitted are formatted correctly, reviewed for spelling or grammatical corrections.
- Review recording forms and procedures to ensure industry standards/company expectations are included. If gaps found, work with the quality manager to review expectations and send back to the person submitting the document.
- Ensure proper function of the Doc Control module of Unipoint by maintaining “active” and “obsolete” controlled document files that support the Doc Control module.
- Obtain the necessary approval(s) of Department Managers and the QA & Compliance Manager prior to implementation of all controlled documents.
- Once implemented, route new and revised controlled documents for training sign offs to all employees.
- Maintain hard copy binders of “active” SOPs for each department; maintain the SOP Table of Contents.
- Ensure pertinent job occupations are linked to each controlled document after consulting with the QA & Compliance Manager.
- Assist in typing, formatting, and editing of controlled documents prior to implementation in Doc Control.
- Conduct assigned Document Reviews.
EDUCATIONAL/TRAINING REQUIREMENTS:
- High School Degree or equivalent.
- Proficient with Word, Excel and Outlook.
- Administrative/customer service experience
