Job Summary
Angel care VNA is seeking a highly organized and detail-oriented Administrative Assistant to join our team at the Acton Location. The Administrative Assistant will provide essential support to our administrative team, assisting with various clerical tasks and ensuring smooth operations within the agency. This role is crucial in maintaining efficient communication and workflow within the agency, contributing to the overall success of our mission to provide exceptional home health services.
Responsibilities:
- Provide administrative support to the office staff, including but not limited to answering phones, responding to emails, and managing schedules.
- Maintain accurate and organized filing systems for client records, employee documents, and other administrative paperwork.
- Assist with the coordination of client appointments, including scheduling and confirming appointments with clients and caregivers.
- Prepare and distribute documents, reports, and correspondence as needed.
- Assist with billing and invoicing tasks, including verifying insurance information and processing payments.
- Coordinate with other departments within the agency to ensure timely and efficient communication and collaboration.
- Maintain confidentiality of sensitive information and adhere to HIPAA guidelines.
- Assist with special projects and tasks as assigned by management.
- Monitor office supplies inventory and place orders as needed.
- Provide exceptional customer service to clients, caregivers, and visitors.
Qualifications:
- High school diploma or equivalent required; associate or bachelor's degree preferred.
- Proven experience in an administrative role, preferably in a healthcare or home health setting.
- Proficiency in Microsoft Office suite (Word, Excel, Outlook) and other relevant software applications.
- Excellent communication and interpersonal skills.
- Strong organizational skills with the ability to prioritize tasks and manage time effectively.
- Attention to detail and accuracy in all work.
- Ability to maintain confidentiality and handle sensitive information with discretion.
- Demonstrated ability to work independently as well as part of a team.
- Flexibility to adapt to changing priorities and workflow.
- Knowledge of medical terminology and experience with medical billing preferred.
- Bi-Lingual (Spanish and English) preferred.
