TheAdministrative Assistantplays a pivotal role in ensuring the smooth and effective functioning of the company through a diverse range of clerical and administrative responsibilities. This individual is the linchpin that supports seamless communication, efficient operations, organizational excellence, and acts as the frontline representative, creating a positive and welcoming environment.
Duties/Responsibilities:
- Extends a warm welcome to visitors and clients, providing clear directions and assistance.
- Skillfully answers and transfers phone calls, exercising discretion in screening when necessary.
- Manages designated filing systems with precision and accuracy. Implements an organized approach to file maintenance for quick access and compliance.
- Retrieves and compiles data from records, emails, meeting minutes, and related documents, preparing concise written summaries when required.
- Responds promptly to and resolves administrative inquiries and questions. Demonstrates a proactive approach to addressing concerns and providing information.
- Coordinates and schedules meetings and appointments for managers or supervisors, demonstrating adept organizational skills. Manages complex calendars with an understanding of priorities and scheduling constraints.
- Manages office supplies, coordinating the maintenance of office equipment for optimal functionality.
- Undertakes other related duties as assigned and anticipates the needs of the department.
Required Skills/Abilities:
- Demonstrates superb verbal and written communication skills.
- Proficient in Microsoft Office Suite or related software.
- Excellent organizational skills and meticulous attention to detail, ensuring accuracy in all tasks.
- Possesses a fundamental understanding of clerical procedures and systems, emphasizing proficient recordkeeping and filing practices.
- Demonstrates the ability to work independently and takes ownership of tasks and responsibilities.
Education and Experience:
- Associate’s degree in related field preferred but not required.
- 5 years of experience in an administrative role, with a proven track record of successful administrative contributions. Previous experience in an accounting firm is a plus, but not required.
