Overview:
We are seeking a highly organized and detail-oriented Administrative Assistant to join our team. As an Administrative Assistant, you will play a crucial role in ensuring the smooth operation of our business and providing excellent customer service to our clients.
You would be working for a driven entrepreneur leading multiple businesses. While the main business is based at our ranch in southeast Oklahoma, we operate in Oklahoma City as well.
Responsibilities:
- Manage calendars, schedule appointments, and coordinate meetings
- Perform general clerical duties such as data entry, filing, and photocopying
- Recommend and implement systems to make our company run smoother.
- Answer phone calls and direct inquiries to the appropriate staff members
- Assist with order entry and inventory management
- Greet visitors and provide them with necessary information
- Assist with office management tasks such as maintaining supplies and equipment
- Handle front desk duties including receiving mail, packages, and deliveries
Qualifications:
- Proficient in calendar management, scheduling, and coordinating meetings
- Strong clerical skills with the ability to handle multiple tasks simultaneously
- Professional phone etiquette with excellent verbal and written communication skills
- Familiarity with a CRM is a plus
- Proficient in Microsoft Office Suite (Word, Excel, Outlook)
- Strong organizational skills with keen attention to detail
