The Administrative Assistant will perform a variety of administrative and clerical tasks. Duties of the Administrative Assistant include providing support to our Chief of Staff and other staff, assisting in daily office needs and managing our company’s general administrative activities. Administrative Assistant responsibilities include scheduling within Outlook, making travel and meeting arrangements, and ultimately ensuring the efficient and smooth day-to-day operation of our office. The ideal candidate should have excellent oral and written communication skills and be able to organize their work using tools like Microsoft Outlook, QuickBooks and office equipment.
Essential Functions
- Partner with executive leadership to provide high-level administrative support including scheduling coordination, meeting preparation, and other special projects as assigned
- Outlook experience, specifically calendar functions required
- QuickBooks experience preferred
- Organize, maintain, and tidy the breakroom, conference rooms, and general office areas
- Book travel and accommodation arrangements
- Manage information flow in a timely and accurate manner
- Ensure completion of tasks for executive leadership
- Screen phone calls for executive leadership and provide accurate email representation
- Run requested errands for executive leadership
- Organize and maintain the office equipment and amenities
Skills
- Highly organized
- Willing and able to maintain filing systems
- Ability to manage multiple priorities and have attention to detail
- Proficiency with Microsoft Office 365 (Word, Excel, Outlook, etc.)
- Ability to manage multiple detailed tasks with competing deadlines while maintaining a professional demeanor
- Ability to express self effectively and concisely, both orally and in writing, and effectively interact with the public and staff working independently with general direction
- Excellent verbal and written communication skills
- Strong customer service skills

Pay: $40,000.00 - $50,000.00 per year
