Job Description
We are seeking a Full-time Administrative Assistant with EXCELLENT client service/support skills to coordinate all administrative matters for our accounting practice. As a client driven business, with government deadlines, it will be necessary to work overtime both evenings and Saturdays from February 1 through April 15. We can offer some flexibility in this schedule during other times of year. Some overtime will be paid via additional time off (comp time) and this role is eligible for a discretionary bonus based on performance.
The perfect candidate would love to engage with clients, have strong organization and administrative skills, the ability to compose and manage correspondence, and be comfortable with technology (QuickBooks experience a plus).
Responsibilities:
- Client services: Provide courteous and helpful service to our clients. You are expected to own all phases of the client experience from initial client inquiry to post-services follow-up.
- Office Administration: Oversee daily office operations, answer phone, respond to emails, schedule appointments, manage workflow for staff, process payments and transactions.
- Ability to run office errands as needed during work hours. MUST HAVE OWN TRANSPORTATION.
- Maintain client relationships and understand clients long term and short-term needs.
Requirements:
Detail oriented and highly organized: this position is client facing, and the ideal candidate must ensure the staff is correctly following protocol to make sure all work is completed in a timely manner.
Outstanding organizational skills with the ability to multi-task efficiently
Strong analytical and critical skills
Ability to handle situations with good judgment
Strong written and oral communication skills
Computer literate including using email, password protecting documents, MS Word, Adobe Acrobat. MS Excel a +

Ability to work retail hours, including Saturdays
Outgoing personality, comfortable talking with clients daily
Ability to coordinate technology for the office, including working with outside IT staff to ensure smooth transition of technology matters.
