JOB SUMMARY:
Under general supervision, the Development Administrative Assistant support fundraising activities. Responsibilities include managing donor databases, preparing correspondence, and coordinating events and calendars. Collaborate with the development team to enhance donor relations, ensure strong stewardship and donor management. Schedule, maintain records, and handle inquiries. Provide efficient administrative support to facilitate donor engagement and fundraising initiatives, foster a positive and impactful environment for philanthropic activities at Indian River State College.
SPECIFIC DUTIES AND RESPONSIBILITIES:
- Support Development Directors and Executives at the Foundation.
- Manage calendar and schedules appointments.
- Track all meetings and phone call for Development Directors and Executives in computerized donor tracking system (i.e. Raisers Edge) (‘notes to file’ responsibility remain with principal).
- Assist with capital campaign, major gifts and events.
- Maintain computerized donor tracking system (i.e. Raisers Edge) and preparing various reports.
- Assist in planning and presenting special events at the direction of the Development Directors including small affinity functions, larger presentations, donor activities and campaign activities.
- Assist with support for various donor giving societies including, but not limited to, Presidents Club and Nightingale Society.
- Coordinate daily operations of the Development Team, including answering telephones, responding to inquiries, handling routine correspondence, ordering supplies, filing, copying, faxing, etc.
- Complete other duties and responsibilities as assigned.
QUALIFICATIONS, KNOWLEDGE AND SKILL REQUIREMENTS:
- Bachelor’s degree and/or the equivalent number of years of proven professional work experience in all areas of office administration to include work experience.
- Minimum of seven (7) years of experience with CRM working knowledge (tested before hire) preference Blackbaud.
- Excellent communication skills - both verbal and written.
- Exceptional organizational skills, attention to detail, and the ability to multitask.
- Proven knowledge office management to include planning, organization, reliance, diplomacy, and implementation of professionalism.
- Knowledge and experience in event management.
- Knowledge of stewardship and donor relations.
- Ability to coordinate multiple projects and tasks simultaneously.
- Proven knowledge of Microsoft Office and Windows based computer applications to include expertise in Microsoft Word, Teams, Excel, Access, general database management, and electronic spreadsheet software required.
- Ability to interact diplomatically with the public, support staff, and College administrators in a professional, timely, and confidential manner.
PHYSICAL DEMANDS:
This position requires an ability to sit, stand, walk, bend, lift, reach up, stoop, and carry items occasionally in excess of twenty-five (25) pounds. It also requires manual dexterity to operate standard office machines, such as, copier, fax, calculator, telephone, and other equipment as necessary. IRSC expects its employees to follow proper safety standards while employed by the College.
