Responsibilities:
- Provide administrative support to owner, estimator and bookkeeper and field supervisor
- Send out bid requests and put together bid forms as required in bid specifications
- Create purchase orders, change orders, etc. and assist with payroll when bookkeeper is out using Foundation Software (will train)
- Keep all NJ construction licenses current
- Check and handle e-mails
- Perform general clerical tasks such as filing, photocopying and scanning documents
- Maintain electronic and hard copy filing system for all jobs
- Answer phone calls and direct them to appropriate personnel
- Assist in the preparation of regularly scheduled reports
- Daily trip to post office and make bank deposits when required
Qualifications:
- Proven experience as an Administrative Assistant or in a similar role
- Proficient in Microsoft Office Suite (Word, Excel, Outlook)
- Strong organizational skills with the ability to multitask and prioritize tasks
- Ability work independently with minimal supervision
- Excellent written and verbal communication skills
- Attention to detail and problem-solving skills
- Knowledge of office management systems and procedures
