Due to the nature of the position and job duties required, this position will be 100% in-office Monday through Friday.
Compensation: $16.00 to $19.00 per hour, commensurate with qualifications and experience
Job Type: Full-Time at 40 hours per week; In-person; Benefits Eligible; Hourly; Non-Exempt
As an Administrative Assistantfor multiple departments, your multifaceted role will include the following:
- Maintaining Records and Organizing Files: Keep both soft and hard copies of records up-to-date; scan for electronic recordkeeping; shred outdated files; data entry in Human Resources, Finance and Land databases, requiring excellent attention to detail.
- Mailings: Process and distribute incoming/outgoing mailings from multiple departments 2x per day, use postage machine, create labels, assist with mass mailing projects, and ensure mail and packages are processed accurately and in a timely manner.
- Backup to Reception: Answer and forward calls, order/shop for supplies, and stock supplies around the office.
- Coordinating: Collaborate with multiple departments for various projects, including scheduling meetings, trainings, gathering information/research, and helping with Employee events.
Skills, Education and Qualifications:
- Adaptability and Flexibility: will need strong organizational and time-management skills to handle multiple requests and juggle deadlines efficiently. Departments will have different urgencies; be prepared to shift focus as needed to meet deadlines. Foster efficient cross-functional communications.
- Confidentiality and Professionalism: Maintain confidentiality regarding departmental matters which will include highly sensitive information. Teamwork attitude, working courteously with colleagues and external contacts - you’ll work with a variety of people. Use your strong attention to detail to ensure accuracy in handling records.
- Experience: preferably, you have some experience in an administrative capacity; better if that experience was in a Human Resources or Finance department. You’ll be relied upon to use office equipment and programs with minimal direction. We use Microsoft Office 365 – Outlook, Excel, PowerPoint, SharePoint, and Word, plus PDF/Adobe. It’s ok if you’re self-taught and still learning, we’ll help you focus your training in the right direction and you’ll take it from there.
- Education: High School Diploma or GED. An Associate’s or Bachelor’s degree in one of the following would be helpful, but not required: Human Resources, Business, Energy, and/or Finance. We do need someone who has basic math skills, can work on computers and electronic devices, and is able to read, write, understand, and speak English.

Reports to: Human Resources Supervisor
Work Schedule: Mon-Fri (8 hour days); 40+ hours per week; 30-60 minute unpaid meal time
Work Environment: Indoors in our HQ office - Traverse City Michigan
Physical: Typical administrative support provided to an office environment: stocking supplies, running errands, processing mail, purchasing supplies, and supporting multiple departments will require you to: type, answer phones, use a computer 6+ hours/day, push, pull, squat, twist, kneel, sit/stand/walk, up/down stairs or ladder, overhead work, lift/carry up to 25lbs (*assistance is provided for heavier items), and reach above, at, and below shoulder. Some days these activities will be infrequent, and other days will happen multiple times per hour. Other physical requirements may be added as needed, to allow employees to perform the job safely and in compliance with company, local, state and federal regulations and requirements as applicable.
Travel requirements: Person will occasionally travel to other MI company locations, as well as run company errands (shopping, event planning, mail/packages, etc). Person will use a company pool car, or submit for mileage of personal vehicle when a company vehicle is unavailable. Due to this, person must have a current valid drivers license.
Pre-employment screenings: Person must successfully complete a background check and driving record check. Riverside will cover the cost of this.
The fun "stuff": The Leelanau Trail, which connects to the TART trail, is just a 2 minute walk from our parking lot – we take advantage of that with planned and sporadic bike rides and walking trips; random mini celebrations at local breweries/wineries/restaurants; an afternoon of volunteering at Cherry Festival (this will be our 8th year!!!); kayak down the Lower Platte; watch Thunderbirds/Blue Angels and fireworks from our 3rd story private balcony over West Bay; in-office potlucks and lunch and learns.
