We are seeking a friendly and professional Administrative Assistantto join our team. As the first point of contact for our company, you will play a crucial role in creating a positive and welcoming atmosphere for our clients and visitors. The ideal candidate will have excellent communication skills, strong organizational abilities, and a customer-focused mindset. The ideal candidate will be an individual who desires to grow within the Company and establish a diversified skill set.
Duties:
- Greet and welcome clients and visitors with a warm and friendly demeanor
- Answer phone calls, take messages, and redirect calls as necessary
- Provide information to clients and visitors regarding company services and offerings
- Perform general administrative tasks such as typing, filing, and data entry
- Handle incoming and outgoing mail, packages, and deliveries
- Generate purchase orders and process incoming sales leads
- Obtain vendor certificates of insurance and workers compensation certificates
- Maintain a clean and organized reception area
- Assist accounting with data entry during peak season, employee absences, and on an as-needed basis
- Arrange hotel and travel bookings for field employees
- Obtain license plates, titles, etc. for company vehicles
- Assist with the onboarding of new hires (computer, email, internet, etc.)
Experience:
- Previous experience as a receptionist or in a customer service role is preferred
- Proficiency in using office equipment such as computers, printers, fax machines, etc.
- Strong knowledge of Microsoft Office Suite (Word, Excel, Outlook)
- Experience with Foundation and Salesforce software is a plus
- Excellent organizational skills with the ability to multitask and prioritize tasks effectively
- Attention to detail for proofreading documents and ensuring accuracy
- Ability to handle sensitive information with confidentiality
- Previous experience in customer support or customer service is beneficial
