Job Description
RE/MAX Preferred-Group seeks a motivated and detail-oriented Administrative Real Estate Assistant (Unlicensed) for their Cincinnati Office. This role involves providing essential support to licensed Real Estate professionals by performing various administrative tasks related to listings, appointments, and client communication. The ideal candidate will be confident, detail-oriented, take ownership of tasks and responsibilities, be tech-savvy, and possess excellent organizational and communication skills. Please note that this position does not require a Real Estate license; however, candidates must adhere to specific guidelines outlined by state regulations.
Key Job Responsibilities
Administrative Support:
- Call prospective clients to schedule appointments for property viewings, inspections, and other Real Estate-related activities.
- Prepare market value analysis forms, compile listing packages, and assist in preparing listing presentations.
- Responsible for all financial systems, including maintaining the books, paying bills, handling payroll, assuring the collection of commissions, maintaining the budget, and generating financial reports.
- Assist in processing sales transactions and inputting listings into the office "listing board" and Multiple Listing Service (MLS).
- Responsible for hiring, training, consulting, and holding all additional administrative team members accountable.
- Management, information management, and back office support.
- Create and maintain an operations manual that documents all systems and standards.
Marketing Support:
- Create visually appealing flyers, brochures, and promotional materials to showcase properties and attract potential buyers.
- Coordinate direct mail campaigns by preparing mailing lists, drafting content, and overseeing distribution.
- Collaborate with licensed professionals to develop marketing strategies and campaigns.
- Write and place advertisements, coordinate marketing and property videos on website(s), blog(s), social media, and client database email campaigns.
- Maintain mailing lists, address and mail open house invitations and thank you notes to open house attendees.
Social Media:
- Ideal candidate will have social media experience with Facebook, X, Instagram and knowledge of video break downs for posting.
Client Communication:
-Build, implement and manage all systems for sellers, buyers, lead generation, and database.
- Serve as a point of contact for sellers, buyers, and other stakeholders, providing assistance and relaying messages as needed.
- Be the first point of contact in handling customer inquiries or complaints.
- Keep the lead agent informed regarding any problems or issues that must be handled.
- Deliver documents such as offers and counter-offers, ensuring compliance with regulations regarding information disclosure.
- Address inquiries regarding property listings and appointments, directing complex queries to licensed professionals for resolution
Transaction Coordination:
- Coordinate with property owners to schedule showings, photos, staging, repairs, cleaning, signage, lockbox access requirements, inspections, and closings, adhering to prescribed conversation guidelines.
- Communicate with sellers and buyers regarding the delivery or pick-up of keys, ensuring smooth transitions during property transactions
Compliance and Record-Keeping
- Maintain organized transaction record-keeping in accordance with company standards.
Qualifications:
- High school diploma, professional experience, or equivalent required, or a college degree (2 or 4 years). Additional education or training in Real Estate administration is a plus.
- Previous experience in administrative support roles preferred.
- Excellent communication skills and a professional phone demeanor.
- Ability to follow prescribed guidelines and adhere to regulatory requirements.
- Strong organizational skills and attention to detail.
- Proficient in Google Suite/Google Workspace.
- Knowledge of Quickbooks is beneficial.
- Experience with a CRM is very beneficial. We utilize FollowUpBoss, Sierra and MLS.
- Experience with Canva would be beneficial.
- Knowledge of Real Estate terminology and practices is beneficial but not required.
