Traveling Coaches is looking for a part-time Administrative Assistant who can multitask, perform tasks timely with high attention to detail, and maintain a positive and proactive attitude while learning a variety of administrative skills and functions. We are passionate about developing people and giving them the opportunity to grow and contribute to moving company initiatives forward.
Job Responsibilities
Using strong organizational skills, exercise good judgement to perform and prioritize multiple tasks with attention to detail, while skillfully balancing interruptions
Anticipate and provide a broad range of confidential administrative support services
Research and assist with logistical coordination of reservations, special events, conferences, marketing events, and a variety of projects with minimal supervision
Schedule & confirm meetings, assisting with preparation of meeting and conference rooms
Receive and distribute mail, assisting with various errands as needed
Manage shared inbox & distribute messages to relevant recipients
Upload and schedule release of pre-drafted newsletters, surveys, and social media posts
Work closely and communicate effectively with team, following up as appropriate
Handle matters expeditiously and proactively, following through on requirements to successful completion, often under tight timelines
Data entry and records management
Answer and direct incoming phone calls
Support various administrative tasks as assigned
Participate and contribute to company-wide strategic initiatives and exhibit core values
Skillsets & Qualifications
High School Diploma or GED
Valid Driver’s License
Typing skills and familiarity with Microsoft Office
Self-starter with excellent organizational skills and ability to perform & prioritize multiple tasks to meet deadlines with limited supervision
Adapts well to changing priorities
Flexibility, positive attitude, team-minded & willing to learn
Strong attention to detail to ensure accuracy of data entry
Ability to communicate effectively with a variety of professionals
Resourceful thinker with ability to apply analytical skills
Ability to work both independently and collaboratively with a team in hybrid work
Embraces technology and efficient methods
Proactive attitude, willing to pitch in where needed, from research & event planning to managing office supplies
Position requires regular lifting of items between 10lbs-20lb and occasionally up to 50lbs.
Additional Preferences (not required)
Experience in an administrative, customer service or other hospitality environment
Experience with Salesforce, Hootsuite, Mailchimp, SurveyMonkey, and/or social media platforms

Requires reliable transportation to office located in Plano, TX. This position requires frequent video conference internet meetings. A work computer will be provided.
The ideal schedule would be 5-7 hours per day, 3-4 days per week. Consistent schedule TBD upon hire.
