Administrative Assistant
A mid-sized engineering consulting firm specializing in the development of energy-efficient and green building designs, seeks a full-time Administrative Assistant who will be responsible for providing administrative support to management.
Responsibilities:
- Prepare for office meetings for staff and clients.
- Maintain adequate inventory of office supplies.
- Coordinate the repair and maintenance of office equipment and other general office administration.
- Provide word-processing and administrative support to management and staff as needed.
- Maintain/update various company databases and calendars.
- Assist in the preparation of project information and company brochures and updating of company website.
- Assist with the preparation of project equipment specifications.
- Work with Project Managers to Coordinate project documents such as External Correspondence from Clients and Contractors, Requests For Information, and submittal logs, to ensure all correspondence is reviewed and returned by deadline.
- Track transmittals and filings with City agencies.
- Stamp plans and Department of Building forms and submit to appropriate agencies.
- Execute clerical, document control and project archiving strategies in keeping with project goals and records management protocols.
The successful candidate must be able to:
- Develop a thorough understanding of project teams, their organization and individual roles for each assignment and support those relationships to achieve project goals.
- Exhibit understanding of document workflow, records management protocols, and the project deliverables for each project assigned and coordinates and integrates work with other project team members under the guidance of the assigned supervisor.
Skills/requirements:
- College degree required with 0-2 years of relevant experience.
- Excellent verbal and written communication skills.
- Strong organizational skills and ability to work independently.
- Computer skills including strong working knowledge of MS Office and Adobe Acrobat.
- Must be creative, self-starter, energetic, flexible and problem solver.
The firm offers an excellent overall compensation package including 3 weeks’ vacation and 6 days per annum, 401K, profit share and pension plan as well as life insurance and health, dental and vision plans. Salary will be commensurate with experience ($40K to $52K).
