Position Responsibilities:
- Provide support to program administrators and director in monitoring program quality and quality assessment tools.
- Assist in general operations of the department including, but not limited to, communication with internal and external stakeholders, data entry, tracking and reporting, and administrative support.
- Conduct office supply audits to organize and replenish items as needed.
- Prepare communications such as memos, emails, invoices, reports, and other correspondence- In English and Spanish
- Provide assistance with monitoring preparation including collecting memos, training plans, and informal communications throughout the year and filing reports - In English and Spanish
- Provide timely documentation in the UC portal.
- Assist with various programmatic communication processes and tools, including program memos, network communications, informational materials, and other communications and tools.
- Create and maintain filing systems, both electronic and physical - In English and Spanish.
- Document next steps and follow-up items subsequent to meetings/events; identify priorities, responsibilities, and timeframe for those activities; distribute assignments as appropriate; and track follow-through.
- Produce internal and external documents including meeting minutes, letters, forms, and briefings - In English and Spanish
- Schedule, plan, and attend internal and external meetings; Maintain up-to-date contact lists and address changes in databases.
- Manage and conduct research on areas related to child welfare best practices as needed.
- Actively participate on the team and be able to develop strategies that will strengthen the New Horizon program; Transport youth to appointments and unifications as needed.
- Will participate in agency meetings and training as required.
- Perform other duties as requested by your immediate supervisor or Director.
Essential Skills and Experience:
- Ability to speak, read, and writes English & Spanish fluently, which allows full communication with agency staff and 3rd parties
- Previous experience with child welfare system, foster care health care requirements
- Working knowledge of computer accounting system, spreadsheet, and word processing software (Excel and Word), knowledge of Connections helpful
- Possess a valid driver license with a driving record acceptable to CHK's insurance carrier and possess the ability to drive agency vehicles to other agency sites and places for training purposes.
- Excellent verbal and written communication skills (English/Spanish), especially in proofing communications
- Proven ability to exercise utmost tact and diplomacy when dealing with confidential issues and ability to discern confidential issues
- Demonstrate strong project management skills and ability to coordinate multiple projects simultaneously.
- Ability and willingness to travel up to 25% including escorting youth to family reunifications by car and air.
- Demonstrate willingness to explore and learn new technology (hardware and software) to increase the efficiency and effectiveness of the work.
- Demonstrate organizational skills with meticulous attention to detail and ability to organize and prioritize, independently determining shifting priorities and responding appropriately.
Education, Training, & Experience:
- Bachelors preferably in Business Administration strongly desired
- Bilingual (English/Spanish) a must
- Valid NYS Driver's License
- Minimum of 3 years experience providing administrative/data entry support
- Knowledge of child welfare and immigration related legislation preferred
The Unaccompanied Children Program provides long term and transitional residential care and other supportive services to Unaccompanied Children (UC) who are under legal custody of the Federal Government. Working in collaboration with the federal Office of Refugee Resettlement, ORR, our program provides a safe and nurturing environment for youth in a Basic Shelter program, and the Therapeutic Group Home programs located at our licensed residential facility in Yonkers, NY as well as a Transitional Foster Care program and the Long Term Foster Care Program located in foster homes in the Bronx, Queens and Westchester. In all programs, we provide therapeutic and educational services and other supports that youth need to achieve success through an array of strength-based and targeted interventions as well as link them with family members and/or other sponsors in the United States so they are able to move forward with their lives and thrive.
