Administrative Assistant – Property Management
Bronx-based Property Owner & Management Firm is looking for a MOTIVATED individual with strong administrative skills to join our Field Administration department as an Assistant to our Chief Engineer
Essential Function
The Assistant will work under the supervision of the Chief Field Director on the day-to-day operations of residential buildings in NYC. The Assistant will ensure high professionalism and develop positive relationships with tenants and clients.
Duties include providing office support to the managers out on the field, generating various reports, and maintaining appropriate filing systems. The ideal candidate should have excellent oral and written communication skills, be well organized, and work independently on assignments. A successful candidate must also be able to work in a fast-paced environment and respond to a high volume of time-sensitive projects.
Responsibilities include, but are not limited to:
• Overseeing HR-related functions of property-level employees such as Supers and Porters.
• Organizing and scheduling appointments with vendors and maintenance staff
• Work closely with Field Managers
• Assisting in the preparation of various reports for upper management
• Maintaining a filing system
• Acting as the point of contact for field staff
• Coordinating repairs and maintenance with third-party vendors and contractors
• Filing time-sensitive documents
• Overseeing work orders
• Maintaining inventory lists & processing purchase orders
Required Knowledge, Skills, and Abilities:
• Demonstrates the strong organizational skills necessary to oversee several different properties
• Possesses basic knowledge of housing regulations
• Excellent time management skills and the ability to prioritize work
• Exhibits solid communication skills, with an ability to calmly & efficiently resolve complaints.
• Excellent written and verbal communication skills
Preferred But Not Required
- Knowledge of the NYC residential market (Rent Stabilization, DHCR, HPD)
- Experience using property management software
Required
- Bilingual and fluent in English and Spanish
- Must be able to reliably commute to Riverdale in the Bronx, Monday - Friday.
