Job description

Org. Setting and Reporting
Under the overall supervision of the Chief of the Human Resources Policies Division, ICSC, the incumbent provides secretarial and administrative assistance to the Chief and staff of the Division.
Responsibilities
• Organizes the Chief's daily schedule of appointments; manages all incoming mail and correspondence; and responds or drafts responses to a wide range of correspondence and other communications, information requests and inquiries; uses standard word processing package to produce a variety of large, complex documents and reports. • Performs a variety of administrative support functions for the Division (e.g. daily leave recording, meeting organization, travel reservations, expense claims, vouchers, visa applications, etc.,); Liaises with the Executive Office and with senior officials in other divisions regarding on-going programmes and other administrative matters; • Ensures smooth and efficient information flow within the Division by reviewing all material prepared for the Chief's signature for compliance with the United Nations rules and regulations; carries out quality control function for outgoing documents; proofreads and edits texts for adherence for format, grammar, punctuation and style; • Researches, compiles and summarizes background materials for use in the preparation of reports, speeches, meetings, etc; Prepares minutes at divisional meetings; • Provides assistance in making logistical arrangements for Commission sessions, common system-wide, working group and divisional meetings, video conferences and training sessions; • Provides assistance in the development and design of questionnaires for compiling data from all organizations of the United Nations common system and summarizes responses. • Assists in the preparation of presentation materials using appropriate technology/software; • Manages and maintains internal databases; generates standard and and non-standard reports; maintains files (both paper and electronic) for work unit; • Participates in the review meetings for the Classification of Field Duty Stations according to the Conditions of Life and Work; • Performs other duties as assigned.

Education
High school diploma or equivalent.
Job - Specific Qualification
Relevant training in PoweBI is desirable Proficiency in computer software applications (MS Windows, Word, Excel, Power Point, Outlook) is required.
Work Experience
Experience in the use of Microsoft office is required Experience using PowerBI is desirable A minimum of 5 years general office administration is required At least 1 year transactional experience in ERP system such as Umoja is required Experience with the UN Editorial Manual, or that of a similar international organization for formatting documents is desirable Experience working with senior officials is desirable
Languages
English and French are the working languages of the United Nations Secretariat. For the post advertised, fluency in English is required. Knowledge of French and/or Spanish is desirable.
Assessment
