JOB DESCRIPTION
Responsibilities
Accounts Payable Functions
- Receives and verifies expense reports and vendor invoices.
- Reconciles expense and other financial reports with account balances and other office records. Enters into accounting system.
- Develop and ensure an improved AP approval process.
- Facilitates payment of vendors, which may include verification, reviewing purchase orders, and resolving discrepancies.
- Ensures outstanding obligations are credited upon payment, identifies discount opportunities, and issues stop-payment orders as needed.
- Ensures any vendor credits due are credited to account or refunded in a timely manner.
- Review, approve and allocate corporate credit card statements and enter into accounting system.
- Review bank accounts daily and immediately reports any incorrect, unexpected/unidentified or fraudulent items.
- Creates and manages product codes (and related) for business units.
- Posts any auto debits in general ledger as appropriate.
- Review and allocate reimbursable expense reports.
- Assists with accounting records and ledgers by reconciling monthly statements and transactions.
Cash Receipts Functions
- Coordinates deposits to bank.
- Prepares, posts, verifies, and records customer payments and transactions related to accounts receivable on a daily basis.
- Positive Pay
- Assist with billing and collections as needed.
Vendor Management Functions
- Maintains and updates vendor files, including name or address changes, mergers, or mailing attentions.
- Ensure vendor information such as federal ID numbers, banking information, address, contact information, etc. is correct and current.
- Issues year-end tax forms (1099)
- Manage vendor agreements in VMS
Other Functions
- Create reports as requested.

Position Type/Expected Hours of Work
This is a full-time, remote position and days and hours of work are Monday through Friday, 8:00 a.m. to 4:30 p.m.
Travel
Little to no travel expected.
Required Education, Credentials, & Experience
- Bachelor’s degree or equivalent experience
- 2+ years experience
- Excel Experience
- Basic General Ledger Knowledge/Experience
- Year End Closing Knowledge/Experience
- Experience handling 1099 process
- Intacct Experience (strongly preferred)
- Budget Analysis Knowledge/Experience (preferred)
