The Embassy Suites by Hilton-Orlando Lake Buena Vista Resort is currently hiring for a Accounts Payable Clerk.
Job Description:
Produces weekly check runs such that priority checks are paid accurately and in a timely manner. Ensure the accuracy of expense coding. Reports weekly cash requirements to controller prior to check run.
JOB RESPONSIBILITIES include, but are not limited to:
- Prepare Invoices/ Check requested for input.
- Audit and code invoices pursuant to Purchase Orders, copies/ faxes of all invoices should be paid when extra effort has been taken to ensure that it has not been previously paid.
- Route invoices for approvals.
- Match all invoices with Purchase Orders and Receiving, when applicable.
- Input approved invoices and schedule for payments such that discounts may be taken.
- Maintain files for Open Purchase Orders (numerical), Open Invoices (alpha), and Paid Invoices (alpha). Paid invoices are attached to the check stub on which they were paid.
- Produce weekly check runs, report cash requirements to the Controller. Upon approval of the Controller, print checks. Printed checks go to the Controller for approval then to the General Manager for signature.
- Checks are returned to the Controller for release. Reconcile vendor statements and initiate the resolution of any discrepancies. Process year end 1099 information. Maintain file on daily F&B receiving reports.
- Ensure the Vendor Trial Balance reconciles to the General Ledger prior to closing month end Accounts Payable and submit copies of all Pre-Paid Expense Invoices at month end.
- Maintain file of all voided Accounts Payable checks. Initiate communication with Department Heads when Accounts Payable documentation is inadequate.
- Assist co-workers as work load permits. Assume all responsibilities as delegated by the manager and do all other duties that may be required to fulfill customer needs and requests.
Job Requirements
- Must be able to speak, read, write and understand the English language.
- Requires good communication skills, both verbal and written.
- Ability to prepare and analyze data figures and transcriptions prepared on and generated by computer.
- Knowledge of computer accounting programs, math skills as well as budgetary analysis capabilities required.
- Strong administrative skills, to include business writing, mathematics for basic accounting and knowledge of Microsoft Office programs.
- Ability to sit for hours at a time.
- Must be able to lift up to 15 pounds occasionally.
- High school or equivalent education required.
- Previous Hotel/Resort Accounting Experience is a Must. Hilton Hotels OnQ system is preferred.
