Administrative Accounting/Payroll Assistant

This position REQUIRES a minimum of 3 years Accounting/Payroll experience.

The Administrative Accounting/Payroll assistant is responsible for assisting the office manager with a variety accounting duties, including accounts payable, accounts receivable, payroll, general office, and clerical tasks to help ensure all daily operations run smoothly. This position also performs varied administrative functions in support of upper management. All duties must be completed in accordance with client and company policies and standard operating procedures, following all state and federal regulations.

Overview of Duties and Responsibilities
- Enters accounts payable into the accounting system after ensuring invoices are accurate
- Enters accounts receivable payments into the appropriate client accounts in the accounting system
- Assist with employee benefit administration and maintenance
- Assists payroll department with entering payroll deductions & earnings, verifies timecards, and resolves payroll issues; ensures timekeeping is correct for payroll company wide, possesses the ability to processes payroll when necessary
- Acts as the corporate liaison between CSA’s headquarters office and satellite offices
- Maintain integrity of confidential documents and company’s financial records
- Provide administrative support to upper management
- Coordinate and schedule meetings
- Assist in development of business documents and PowerPoint presentations
- Data entry, filing, drafting correspondence, and other administrative tasks
- Represent the company professionally with an emphasis on attention to detail
- Assists with maintaining and purchasing office supplies for our headquarters office
- Develop and maintain filing systems
- Answer door and greet visitors and staff
- Maintain a professional appearance
- May be tasked with other duties not listed
Minimum Qualifications
- 3 years of accounting/Payroll Assistant experience including (A/R, A/P &
Payroll)
- Intermediate experience in QuickBooks online
- Intermediate knowledge of MS Office Suite applications, including Word,
Excel, and PowerPoint
- Knowledge of Google Suite
- Proficient in English grammar and professional writing
- Typing speed of 50WPM
- Professional phone and email etiquette
- Excellent time management and task prioritization skills
- Solid work ethic with a high level of integrity
- Strong attention to detail
- Demonstrated analytical and problem-solving skills
- Ability to communicate clearly and effectively, both verbally and in writing
- A dependable team player with business maturity, enthusiasm, and a positive attitude
- Ability to learn new software programs if needed
- Bilingual/biliterate is a plus
- Must be able to report to our office in Salinas, CA * This is not a remote
position*
Education and Certification Requirements
- Possession of a high school diploma or equivalent, college degree preferred
- Typing certificate reflecting typing speed of at least 50 WPM

- Must be at least 18 years of age and able to provide documentation showing authorization to work in the U.S.
- Employment is conditioned on successful completion of background check
- If prior military, must provide DD214 discharge document with discharge status upon job offer

Bonus is paid as follows: $600.00 at 90 days of continuous employment. *
