Qualifications:
- Analytical thinking and the capability to make informed decisions quickly, all while paying close attention to detail.
- Entry level payroll experience, will train
- Proficiency in Microsoft Office software products (Outlook, Word, Excel, and PowerPoint)
- Proficiency in Spanish (spoken and written) required.

What you’ll do:
- Maintain Employee Profile information on new and existing employees: ( e.g. Rates, Positions, Locations, Schedules, etc.
- Approve Tax Withholding forms in the AGI system.
- Process Verification of Employment forms for different entities:
- Mortgage companies, potential employers, State/County After School Programs, etc.
- Process EDD Forms/EDD Pay Audits
- Run Payroll Registers for the Legal Department for Worker Comp Cases
- Ensure that the Garnishment orders are entered and processed. (amount, end date)
- Mail out Garnishment checks on payroll week.
- Assist with Outside Vendor checks, calculating amounts, issuing them and recording them in NetSuite Oracle
- Set up Payroll Alerts as needed.
- Set up and process Deductions in EE AGI profile: Licensing and Misc. Deductions
- Daily Timesheet Audits to verify accuracy and to report corrections needed.
- Contact employees when necessary to follow up on Timesheet pending items.
- Run an array of AGI-HRIS generated reports for different departments.
- Process Employee Transfers
- Maintain and ensure 100% accuracy of the timekeeping data entries for payroll processing
- Payroll Processing: Create QC Report and go through the entire payroll cycle
- Create the Bi-Weekly Manager Bonus Report and Calculate Commission/Bonus & OT Bonus for Call Center, DMV, Commercial, Farmer’s and other applicable Departments.
- Upload Bonus and Commission pay to Agent’s pay statements.
- Prepare Final Checks, Adjustment Manual Check, and Vacation Cash out Checks.
- Process Vacation Reconciliation Reports
- Research uncashed checks reported by Inova-Payroll and reissue when applicable.
- Assist employees with the following Paycheck Questions:
- Providing copies of pay statements, W2 Forms and 1095C Forms.
- Training in Timesheet use AGI system: tax form changes and Direct Deposit set-up
- Register manual checks in Oracle NetSuite
- Manage and monitor Company’s Payroll Email
- Keep in direct contact with Inova regarding any employee’s inquiries or special request needed.
- Stamp checks for the Accounting Department and DMV Department
- Other daily duties as assigned
