Purpose of the Position
This role provides administrative support to the Human Resources department.
Essential Duties and Responsibilities
Oversees daily record-keeping and maintenance of all employee personnel files while maintaining high standards of confidentiality.
Coordinates and conducts new hire orientations.
Serves as key informational source and point of reference to new hires during their 90-day orientation period.
Creates initial training plans and ensures timely completion.
Regularly audits personnel and training files to ensure compliance.
Maintains training records (internal, external & educational encouragement) and training database for all employees.
Supports major projects as assigned.
Provides back-up for Receptionist and Mailroom Coordinator as needed.
Prepares organization charts, management reports, exit interview data and other reports as required.
Processes business cards, gas cards and American Express cards.
Codes invoices for approval and processing.
Schedules and organizes meetings, conferences and department activities.
Opens and routes incoming mail, answers correspondence, and prepares outgoing mail.
Works proactively to promote teamwork at all levels of the Company.
Actively assists in continuous improvement activities and offer positive suggestions for improvements and innovations.
Responds promptly when returning telephone calls and replying to correspondence, faxes and emails.
Makes photocopies, faxes documents and performs other clerical functions.
Performs other duties as assigned.

Knowledge, Skills and Competencies Required
Bilingual in Spanish is required.

Computer Equipment and Software Requirements
This position requires the ability to work with a personal computer in a Windows environment. Use Microsoft Office Suite software (with advanced proficiency in Word, Excel & PowerPoint), HRIS software, and the Internet.
Education and Experience Required
High school diploma or equivalent required.
A minimum of five years in an administrative role preferred.
Ability to read, analyze and interpret policies and procedures, great communications skills and the ability to effectively present information and respond to questions from internal/external sources.

Pay: $20.00 - $22.00 per hour
