Under general supervision, performs a variety of administrative support duties in support of various components of the City’s Human Resources system including employee/labor relations, compensation, benefits, recruitment, organizational development and training. Other essential duties would include:
- Provides general Human Resources Administrative support to include, composing correspondence, data entry, proofreading, maintaining files, processing forms, faxing, shredding documents, etc.
- Coordinates the development, production and dissemination of routine and special informational materials and services.
- Prepares packets for Board of Fire and Police (BOFPC) meetings to include, preparation of and updates of eligibility lists from test data, listings of candidates sent for polygraph examinations and background checks, and preparation of letters to candidates concerning their status.
- Manages contractor/vendor assignments; reviews and approves invoices and work orders.
- Assists with recruitment processes; posts open position on websites, assists in scheduling interviews, conducts post-offer reference checks, etc.
- Administers employee service awards program.
- Faxes CDL random lists to Elmhurst Occupation Health and coordinate with departments to coordinate employee testing.
- Prepares disbursements for Finance Department to include, P-card expenses and monthly billing for employee benefits programs.
- Assists in scheduling, food ordering and set-up for training seminars, meetings and other activities.
QUALIFICATIONS
Graduation from high school and two years of general clerical or office assistant experience; or an equivalent combination of education, training and experience as determined by Human Resources. Basic understanding of computer applications involving word processing, data entry and/or standard report generation. Ability to handle confidential information is also required.
