The Special Projects Administrative Program Coordinator is responsible for coordinating all courses for 1st and 2nd year medical students. This position is responsible for administering and implementing the day-to-day operations of the curriculum by coordinating all educational and administrative activities related to the implementation of Phase 1 courses under the direction of the course and curriculum directors.
Essential Functions
- Providing administrative support, management, and oversight of student affairs and admissions programs and processes.
- Handling purchasing card reconciliation for the Director of Student Affairs and Admissions and student club purchases.
- Managing the university contract process and payments for student clubs and events.
- Tracking expenses for the Office of Student Affairs and Career Advising and the Student Government Association (SGA).
- Processing reimbursements for SGA and the Student Affairs Emergency Fund.
- Supervising class treasurers and providing training to assist student organizations with orders.
- Assisting in managing student organization budgets.
- Organizing student programs, events, and activities, including room scheduling and ordering supplies.
- Supporting the management and creation of TouchNet stores for events and assisting with the payment process.
- Assisting with milestone events such as Orientation, the White Coat Ceremony, the Golden Apple Ceremony, and Commencement.
- Supporting admissions processes, including hosting interview days and screening applications.
- Maintaining confidentiality of workplace information.
- Enhancing and advancing student affairs and admissions processes to support medical student success.
- Ensuring financial and administrative processes are efficiently managed.
- Contributing to the success of student organizations and events.
- Supporting milestone events that are crucial to the student experience.
- Assisting in the admissions process to select qualified medical students.

Qualifications
Required Qualifications
- Minimum of Bachelor's Degree or Equivalent
- Minimum of two years of experience, preferably in higher education.
- Demonstrated skills and expertise in standard computer applications including word processing, database and spreadsheet management, on-line calendar management, email systems and website management.
- Proficient knowledge and experience with Windows products; Proficient in MS-Word, MS-PowerPoint, MS Excel, and MS-Access required

- Ability to work collaboratively and effectively with Deans, Directors and Faculty educators to develop and provide oversight for programs that optimize student success.
- Ability to lead staff(?) and students to complete projects while always cognizant of the goals to best achieve the Office's overall mission goals.
- Excellent interpersonal skills such that they can work collaboratively, effectively and professionally with a broad range of constituents including College of Medicine faculty, staff, students, tutors and external clients.
- Excellent organizational skills
- Ability to interact with discretion and maintain confidentiality of student information.
- Demonstrated flexibility in organization of workflow and adaptability to changing tasks.
- Detail-oriented with ability to multi-task and problem solve in a fast-paced environment.
- Ability to prioritize tasks and delegate effectively.
- Excellent oral and written communication skills
- High energy level and ability to work independently and with autonomy.
- A self-starter who takes the initiative and is interested and willing to learn new skills, programs and technology as needed.
