Job Title: Shipping & Receiving Specialist
Hours: 8:00 am - 5:00 pm, Monday - Friday
Job Responsibilities:
Shipping Documentation:
- Prepare required shipping documents for outgoing goods, ensuring compliance with export and destination import requirements.
- Schedule and coordinate both domestic and international freight forwarder transactions as required.
- Maintain shipping records and provide tracking or shipping history information to customers on request.
- Use supplier-supplied and internet-based shipping software to transact orders.
- Label outgoing material with appropriate documents as required.
Customer Order Coordination:
- Review open customer orders, coordinate completion with manufacturing to meet customer shipping schedules, and satisfy requested ship dates.
- Ensure proper revenue recognition by completing the final transaction and generating customer invoicing upon final dispatch.
- Audit waiting-to-ship reports daily to ensure all invoicing is completed.
Freight Management:
- Select the most appropriate freight forwarders and carriers to achieve company targets in quality, delivery, and cost.
- Coordinate the shipping of freight by contacting appropriate freight carriers.
- Shop rates for prepaid shipments to ensure the best possible freight rates are being utilized.
Export/Import Compliance:
- Resolve any issues related to the final customs clearance associated with the export and/or import of Qualitrol materials.
- Maintain knowledge of current international import/export regulatory requirements.
- Update applicable standard operating procedures as necessary and formally document new or changed procedures.
- Identify individuals requiring training and execute training if needed.
Data Management:
- Enter data into an automated inventory control system using a computer.
- Distribute shipment documents by fax, email, courier, and file documents related to export shipments or other shipments requiring additional documentation.
- Store and archive shipment documents and provide as required.
Inventory Control:
- Conduct a physical inventory of parts and maintain storage areas in a neat and orderly fashion.
- Maintain work area in accordance with 5S standards.
Backup Responsibilities:
- Assist on a backup basis in Shipping and Receiving areas, completing daily standard work, including loading/unloading trucks, receiving, counting, delivering and/or stocking material, picking up packaged items from cell locations, and processing for shipment.
Leadership:
- Act as Shipping and Receiving group leader in the absence of the Shipping Coordinator and/or Shipping and Receiving Supervisor.
Qualifications:
- HSD/GED required; bachelor's degree preferred.
- 2-5 years relevant experience (clerical, data entry, customer service, similar functions) and at least 1 year of shipping experience.
- Solid knowledge and understanding of US Export Administration Regulations is a plus.
- Working knowledge of export document preparation is a plus.
- Working knowledge of carrier-supplied and internet-based shipping software – UPS Worldship, DHL & FedEx Internet Shipping is a must.
- Oracle experience is a plus.
- Proficient English reading and writing skills; ability to read and comprehend MSDS sheets and standard work instructions.
- Ability to work within established procedures with a moderate degree of supervision.
- Ability to prioritize work, self-starter, organized, detail-oriented.
- Ability to work well under pressure; good communication and interpersonal skills.
- Delivers quality work consistently.
