Taylor County is currently seeking qualified applicants for Secretary/Receptionist within the Taylor County Administration Office.
Summary:
This position in the County Administration offices is a responsible position that works under the general supervision of the Administrative Assistant. The position is the initial contact that county government has with many of our citizens. The Secretary/Receptionist must be familiar with not only the operation of individual divisions within County Administration, but also must have a good general knowledge of the operation of all county offices. The person in this position must screen the calls to determine which office or official can help the individual. The Secretary/Receptionist also provides the County Judge and Commissioners with secretarial support. The person in this position from time to time must deal with the public in sensitive matters and situations.
Essential Job Functions:
- Opens office at 8:00 a.m. and closes office at 5:00 p.m. Monday through Friday
- Answers telephone and takes messages for County Administration offices
- Screens all calls coming into the office and determines which County department the caller needs in order to transact their business, often referring the caller to departments in other governmental entities and community agencies
- Drafts and prepares office correspondence, memorandums, reports, court documents, etc. for the County Judge, Commissioners and Administrative Assistant
- Prepares and maintains records and files as instructed for County Judge, Commissioners and Administrative Assistant according to County Records Management Policy
- Screens (preliminarily) non-scheduled “drop-ins” by citizens, attorneys, parties in court cases and by county officials according to office policy
- Receives, sorts and routes all incoming mail for Taylor County as needed
- Prepares and distributes mail for Administration offices
- Notarizes documents as requested by the public, county offices and county employees
- Keeps records of newspaper articles relating to Taylor County
- Assists with fax transmissions
- Orders supplies and repair for photocopy machine
- Manages day to day operation of telephone issues throughout County offices
- Perform other duties within professional competency, as assigned
Non-Essential Job Functions:
- Assists as requested with court matters, preparation of documents and records
- Assists with annual United Way campaign paperwork
- Assists with telephone repair calls
- Obtains signatures from Commissioners’ Court members for Auditor’s office and Commissioners’ Court documents
Knowledge, Skills and Abilities:
- Secretarial and clerical skills
- Ability to work with and maintain confidential information
- Ability to learn how the county interacts with other governmental entities and community agencies
- Skill in operating personal computers specifically word processing software
- Ability to communicate effectively both orally and in writing
- Ability to establish and maintain effective working relationships with other county employees and officials, attorneys and the general public
- Ability to learn courtroom and administrative procedures
- Ability to learn the effects of legal documents used in County Court
- Attention to detail in written communication, including spelling
Working Conditions: Work is indoors in an office environment with standard ventilation and lighting conditions.
Physical Demands: Bending, squatting, kneeling, twisting upper body and lifting. Frequent sitting, standing, walking, communicating and keyboarding.
Minimum Education: High School Diploma or GED
Minimum Years of Experience: 4 years of relevant experience; can be supplemented with legal training or relevant additional schooling
Minimum Experience/Training: Secretarial and office experience with increasing responsibilities. Skills to include various computer software programs and telephone/receptionist work. Must have good organizational skills. Typing speed: 55 wpm. Work or educational experience to preferably include receptionist and secretarial duties. Legal or court duties such as docket setting, legal terms, court procedures, etc. is preferred.
Special Requirements: Texas Notary Public

Starting Salary: $41,500 annually + benefits
