Vis A Vis Health is hiring a Scheduling Manager to join our growing team. The primary role of the Scheduling Manager is to oversee the patient appointments and provider's schedules.
Scheduling Manager Duties Include:
Appointment Scheduling:
- Coordinate and manage the scheduling of patient appointments across multiple providers and specialties.
- Ensure that appointment slots are optimally utilized to maximize patient access while minimizing wait times.
- Handle incoming calls from patients to schedule, reschedule, or cancel appointments.
- Utilize scheduling software to manage appointment calendars and patient records accurately.
Patient Communication:
- Communicate with patients to confirm appointments and provide necessary instructions or reminders.
- Address patient inquiries related to scheduling, availability, and appointment preparation.
- Handle patient complaints or concerns related to scheduling with professionalism and empathy.
Staff Coordination:
- Collaborate with medical staff and administrative team members to coordinate scheduling efforts and ensure smooth patient flow.
- Provide training and guidance to staff on scheduling procedures and best practices.
- Monitor and adjust scheduling protocols to accommodate changes in patient volume or provider availability.
Data Management and Reporting:
- Maintain accurate records of patient appointments, cancellations, and rescheduling activities.
- Generate reports on scheduling metrics, including appointment utilization, wait times, and patient satisfaction.
- Analyze scheduling data to identify trends, inefficiencies, or areas for improvement.
Quality Assurance:
- Implement and enforce scheduling policies and procedures to maintain consistency and quality in appointment management.
- Conduct periodic audits of scheduling practices to ensure compliance with regulatory requirements and internal standards.
- Recommend and implement process improvements to enhance the efficiency and effectiveness of scheduling operations.
Scheduling Manager Job Requirements Include:
- Bachelor’s degree in Healthcare Administration, Business Administration, or related field preferred.
- Previous experience in medical office administration or healthcare scheduling role preferred.
- Proficiency in using scheduling software and Electronic Health Record (EHR) systems.
- Should have excellent computer skills (MS word, excel, outlook etc.)
- Excellent communication & interpersonal skills
- Highly Organized, Professional & Motivated.
- Strong problem-solving skills with ability to work collaboratively in a team environment, multitask, & prioritize
- Knowledge of medical terminology and healthcare regulations is a plus.
