Position: Sales Support Specialist, Furniture
Job Description
The Sales Support Specialist will report to the Furniture Division Director to provide project management, coordination, and general administrative support for all furniture orders. The primary role will be to support the sales team in the greater San Francisco Bay Area, with secondary focus on furniture orders outside the region. The goal is to help grow the Furniture Division both in revenue and profitability.
Duties (to include but not limited to):
- Handle customer inquiries, passing prospects on to sales teams;
- Assist with quotations, as needed, or update to match purchase orders;
- Work with Project Matrix/Project Spec to support the team in the development of complex quotations and estimates;
- Coordinate designs with outside designers, in support of the sales process;
- Process purchase orders and ensure orders are entered into the system;
- Clerical and administrative support for Furniture Division;
- Assist with installation scheduling and manpower loading for assignments;
- Work closely with installation, sales and accounting staff to ensure coordination and completion (billing) of orders;
- Obtain quotes from subcontractors, and coordinate issuance of purchase orders for work, to assure the company has a paper trail for work assignments, and aligning with the specific client purchase order;
- Support sales team by managing samples delivered to prospects, and coordinating the return of samples to our storage spaces;
- Assist in the business development initiative to address clients in the “higher education” sector;
- Identify key prospects in region
- Development of marketing plan for prospects
- Work with Outside Sales Team to introduce the company and activate sales plan
- Participate in sales bonus program for this specific sector

Position Task Summary
This following project tasks are part of the day-to-day functions of this position:
Process Orders
Process orders, assure ordering instructions sent to procurement.
Revised Quotes
Revise or update quotes as needed.
Customer Check in
Contact customer. Inform them we received PO. Provide ETA.
File Orders
Keep orders organized and track until they are completed.
Subcontractor Resources
Secure quotes from subs, recruit new subs, submit orders to them. Secure subcontractor agreements, insurance and other paperwork from subs. Maintain files, both paper and digital for subcontractor resources.
Track Orders
Work with operations team to check on orders, lead times, confirm order acknowledgements. Expedite as needed to get products for timely deliveries.
Quality Control
Work with furniture suppliers on quality control issues from time to time, with account managers and team.
Strategize Deployments
Develop a plan with installation team, and report issues to Account Manager and Director.
Customer Service
Follow-up in 15 days, 30 days and 60 days.
Business Development
Work with Account Manager and furniture team to develop marketing and sales plan to target higher education.
Job Type: Full-time
