Job Purpose:

The Sales Coordinator for our hotel is instrumental in ensuring a smooth execution of the sales process. The position focuses on providing crucial support to the sales team, managing administrative tasks, fostering effective communication, and directly engaging with groups to ensure a seamless and exceptional experience. Acting as a key liaison between the sales department and various hotel departments, the Sales Coordinator contributes to the overall success of the sales function and enhances the guest experience. This role demands a detail-oriented individual with strong organizational skills, excellent communication abilities, and a proactive approach to support the achievement of sales targets and objectives.

What You’ll Be Doing

Essential Job Responsibilities:

  • Detail groups assigned to:
  • Groups assigned to are defined as:
    • All duties for rooms only groups for all market segments
    • Room block duties for wedding market segment
    • Room block duties for groups with heavy rooms and minimal event space
    • Room block duties for groups needing additional support
  • Optimize guest experience for groups assigned to
  • Complete group resumes for groups assigned to, exception is wedding room blocks with wedding events.
  • Room block duties consist of:
    • Follow up on key dates/information including cut-off date reminders
    • Arrival/departure Pre-Key groups- Provide Front Desk with details
    • Special requests including submitting amenity requests, bus parking, shuttle needs.
    • Sending or confirming payment method with assigned groups
    • Communication and execution of attrition and cancellation fees if applicable
    • Submit final invoices to Finance team when group is complete, aka the “greening process.” (Including updating the ESS Checkbook)
  • Assist in driving revenue to outlets and making F&B reservations or Blush appointments
  • Pull all group rooming lists, both rooms only groups and groups with events.
  • For groups assigned to, communicate with Reservations to reward planner points to group contact once bill has been paid.
  • Attending weekly Group Pick Up and Strategy Meeting
  • Attending monthly Sales & Catering meeting
  • Provide exceptionally detailed and accurate communications to both client and/or operations departments in the form of rooming lists, resumes, etc.
  • Resolve customer issues to sustain long term guest engagement by employing the Radisson Plaza problem solving methods, invoking the 100% guarantee as necessary and making improvement recommendations to management.
  • Create and sustain positive leadership interactions with all catering, restaurant and hotel personnel by being a promoter of Radisson Plaza vision, mission and core values to all colleagues.
  • Meet with the Director of Sales weekly to review upcoming events, assist with projects assigned, provide information to assist with accurate forecasting, create and review progress on objectives, etc.
  • Assist with updating group blocks in Delphi for rooms only groups and groups with catering as needed.
  • Provide support as needed for Sales & Catering Administrator out of office time periods.
  • Maintain guest profiles, contacts, and additional necessary records used in the Sales & Catering operation
  • Filing signed contracts in Delphi
  • Cleaning up Delphi duplicates
  • Building new accounts from tradeshows
  • Updating Accounts with accurate information
  • Filing BEO’s, diagrams, notes from CSM’s
  • Provide valuable support to the sales and catering team by taking on diverse tasks including handling data entry for the CRM program, preparing and distributing reports, verifying website accuracy, submitting marketing requests, and maintaining consistency with departmental collateral.
  • Order office supplies and collateral inventory for the Sales & Catering Department.
  • Provide prompt support for special projects or during busy times at hotel
  • Provide high level administrative support to Department Heads including managing schedules, collateral design support, produce reports, presentations and briefs.

  • Must have strong organizational skills and acute attention to detail with the ability to prioritize and multitask in a fast paced environment
  • Must demonstrate ability to think clearly, quickly and make concise decisions
  • Must be a self-starter
  • Must have a passion for complete guest satisfaction with proven ability to orchestrate the total guest experience for each client
  • Must be revenue driven with ability to calculate figures and amounts such as final bills, discounts, percentages and with added focus on how this affects profit
  • Must have ability to accurately and efficiently enter information into a variety of different software programs
