The Discovery Source was started in 2014 and is based out of Carlsbad, CA. We create, publish, and distribute social emotional materials and resources for ages 0-5 classrooms, families, and family child care centers across the nation. We are a small, family-owned business with about 10 employees full-time both local and remote! We pride ourselves on the work and services we have provided to tens of thousands of programs, families, and centers. Unlike other ‘big name’ companies, we truly are one big family and we continue to show unmatched kindness, empathy, openness, and determination within our business with our staff, and especially with our customers. We have been growing and growing fast.

Summary
The Discovery Source is looking for a full-time Sales Administrative Assistant. This role would be fully remote, or partially hybrid if possible. The position will help streamline our overall sales team's success through assisting in a wide variety of responsibilities and projects ranging from internal and external sales support, administrative work, travel and conference organization, research support, list organization, project coordination, and more.
Qualifications
1. Individual must have at least 3 years of experience in a role equivalent to
Administrative Assistant or Sales Administrative Support.
2. Individual must be a go-getter, adaptable, and be able to work proactively both independently and as part of a team.
3. Individual must be able to juggle multiple tasks at one time, be able to easily prioritize tasks, and be open to new tasks or side projects.
4. Individual must be an excellent communicator and reliable resource for all members of the team.
5. Individual must have an outgoing, vibrant personality that helps inspire and motivate our sales team.
6. Individual must be proficient in technology with a good understanding of google drive, excel, powerpoint, microsoft word, and be a quick learner to new technology.
7. Individual should have experience in CRM programs, or that equivalent to.
8. This Individual must possess at least a high school diploma or that equivalent to.
9. Individuals who are bilingual (English/ Spanish) are encouraged to apply.
Role Details
● This role is full-time remote (9:00 AM- 5:00 PM) and would be ideally located within close proximity to Carlsbad, California, U.S.
● This role will report to the VP of Sales, and the CEO.
● Compensation will range from $50,000-$60,000 annually, depending on experience.
In addition, a performance based salary will be available.
● This role will be well-positioned for growth, as over time it will leave opportunities to learn the ins and outs of all areas of our business.
Job Responsibilities (may include, but not limited to the following):
● Meeting with the sales team and VP of Sales on a weekly basis to help streamline the team’s success.
● Helping the entire sales team stay on track through managing calendars, scheduling appointments, managing administrative tasks for the team, and more.
● Managing sales team paperwork such as applying for sponsorships, conferences, vendor applications, state certificates, notarizing forms, etc.
● Researching and organizing new opportunities or customers.
● Taking charge of show material needs and shipments (ordering any new items, managing the representative checklists, helping preparing for shows, coordinating with the operations team on items needed.)
● Utilizing our CRM program to help streamline sales team needs and inputting data.
● Provide internal communication support between operations team, CEO, invoicing team, sales team, or anyone else who will need assistance.
● Meet with representatives to help organize their ideas for marketing, campaigns, events, etc. in a way that they can be easily implemented for the marketing team.
● Helping coordinate physical mailings with our printer.
● Managing virtual events- organizing registration, virtual hosting, follow up.
● Helping in contest projects- purchasing and sending gift cards, creating forms, managing winners, etc.
● Assisting and supporting revenue sharing programs (creating contracts, helping with supporting relationships, marketing materials, etc.)
● Taking over projects for TDS merchandise, holiday gifts, special event things.
