JOB DESCRIPTION

The City is honoring service credit towards vacation accrual for completed public sector years of service.
JOB SUMMARY:
Plans, organizes, and coordinates recreation programs, activities, and special events. This classification requires knowledge of recreation principles and methods as well as leadership, organization, and planning skills.
CLASS CHARACTERISTICS:
Positions in this classification coordinate and oversee the daily operations of a program section. Incumbents assist with the program budget and coordinate the hiring and employee training for temporary staff and volunteers. This classification is distinguished from the Recreation Supervisor classification in that the latter is responsible for the overall supervision of the program. This classification is distinguished from the Youth Services Coordinator and Aquatics Coordinator classifications in that the latter two coordinate and oversee specialized youth services and aquatics programs. In the Parks and Recreation Department, Recreation Coordinators may be assigned to Community Services or Golf.
SUPERVISION
SUPERVISION RECEIVED AND EXERCISED:
Employees in this classification receive general supervision from a Recreation Supervisor or Recreation Manager, within a framework of standard policies and procedures.
Employees in this classification serve in a lead capacity to schedule, assign, and review the work of regular staff, supplemental staff, and volunteers; hire and terminate supplemental staff; and train regular staff, supplemental staff, and volunteers.

  • Plans, organizes, and coordinates the operations of a recreation program division.
  • Provides exemplary customer service to all individuals, maintaining a positive customer service environment.
  • Coordinates the recruitment, training, and work assignments of supplemental staff and volunteers; responsible for staffing schedules; may provide lead direction to regular staff.
  • Assists in providing applicable staff training programs to ensure staff are sufficiently trained and program goals are met.
  • Participates in the development, implementation, and maintenance of program goals and objectives.
  • Follows and upholds City of San Luis Obispo Parks and Recreation Department policies and philosophies.
  • Actively participates and engages in local, state, and national initiatives and trends affecting recreation programs.
  • Reviews and submits all program paperwork, including injury report forms, week in review forms, timecards, and supply requests; maintains accurate records and files.
  • Coordinates program billing, payments, and contracts.
  • Oversees program events and activities; ensures staff ratios and plans on-site events.
  • Prepares, updates, and maintains reports, correspondence, and staff manuals.
  • Serves as substitute at program(s) within the department; may be called on to work at assigned or another division as an emergency substitute.
  • Responds to inquiries and requests for information.
  • Represents the department within the City and with other agencies, civic groups, and the public.
  • Assesses equipment and supply needs and approves purchases.
  • Coordinates preparation and use of facilities for programs.
  • Establishes and maintains effective relationships with user groups, staff, and administration.
  • Assists with budget preparation, tracking, and implementation.
  • Coordinates marketing and publicity of programs.
  • Interprets and implements policies and procedures related to the department, organizational unit, or program to which assigned.
  • Performs related duties similar to the above in scope and function as required.

Additional Duties for Recreation Coordinator assigned to Community Services

  • Plans, organizes, and coordinates recreational sports programming for all ages, from youth to seniors.
  • Develops and assists in the coordination of special events designed to showcase recreational opportunities and facilities, providing the public with an ongoing source of community activities in promotion of healthy lifestyles.
  • Supports the Recreation Supervisor or Recreation Manager in the programming and coordination of department and City-wide events with a focus on programming, volunteer recruitment, and customer service.
  • Implements fee structures in accordance with Council-adopted cost recovery policies; makes budget suggestions, monitors program revenue and expenditures, makes purchases, and processes invoices related to community programming and events.
  • Provides on-site day-to-day operational assistance to supplement existing Senior Center programming and senior events; participate in monthly Senior Center Executive Board meetings; provides liaison support to the Senior Center Board.
  • Supports Supervisor in the programming and operations of the historic Jack House and Gardens.
  • Coordinates the City's Contract Classes program through outreach to potential instructors, contract management, coordination of facility reservations, registration, marketing, and outreach for the classes and payments to instructors.
  • Coordinates the City's Community Gardens program with support of interns, including outreach to gardeners, coordinating of garden work projects, facilitation of tools and supplies needed, placement of gardeners via a tracking system for garden plots and managing waitlists, and coordinating payments for garden use and communicating regularly with gardeners.
  • Coordinate programming and activities at the SLO Skatepark.

Additional Duties for Recreation Coordinator assigned to the Golf Course
  • Develops an ongoing marketing program for the golf course; develops and assists in the coordination of special events designed to showcase the golf course, providing the public with an ongoing source of community activities at the golf course.
  • Focuses on programming, customer service, and fiscal management.
  • Orders, sells, inventories, and maintains stock for pro shop; maintains an inventory of materials and supplies for course maintenance; estimates and acquires appropriate materials and supplies for a specific project.
  • Implements fee structures in accordance with Council-adopted cost recovery policies; makes budget suggestions and monitors program revenue and expenditures.
  • Provides operational innovations at the Golf Course and works in conjunction with Community Programs and Events in support of golf programming.
  • Assist with management of on-site concessionaire.
  • Assist with management of registration system.
  • Completes audit and reconciliation of daily revenue transmittal sheets.

KNOWLEDGE AND ABILITIES:
Knowledge of:
  • Principles and techniques of organizing and implementing a variety of recreational activities.
  • Principles and practices of employee leadership, including work planning, assignment, and feedback.
  • Safety precautions and procedures required for recreation programs.
  • Techniques for effective communication, providing a high level of customer service, and effectively representing the City.
  • Basic budget tracking, such as monitoring program revenue and expenditures.
  • Age-appropriate recreation program development.
  • Modern office practices, methods, and computer equipment and applications related to the work.

Ability to:
  • Properly schedule and promote programs, activities, and staff.
  • Maintain accurate records and prepare related reports.
  • Coordinate and monitor the work part-time, supplemental staff.
  • Provide detailed and timely feedback to staff.
  • Effectively and tactfully communicate in both oral and written form.

  • Interpret and implement policies and procedures related to the department, organizational unit, or program to which assigned.

TYPICAL QUALIFICATIONS
EDUCATION AND EXPERIENCE:
Associate degree in recreation or a related field;
and
Two years progressively responsible experience in recreational programming;
or
An equivalent combination of education and experience.
POSSESSION AND MAINTENANCE OF:
  • A valid California class C driver's license and a satisfactory driving record.
  • Current First Aid and CPR certifications completed within 6 months of employment.
  • Complete Child Abuse Mandated Reporter Training within one month of employment.

Life and Accidental Death and Dismemberment (AD&D) Insurance: group term life and AD&D insurance is provided for all regular employees. The amount of coverage varies depending on the classification. Employees may purchase additional life and AD&D insurance for themselves and their dependents.
Vacation: employees receive 12 days per year increasing to 20 days after 20 years.
Holidays: employees receive 12-13 days per year depending on the classification.
