Location: Farmers Branch, TX (on-site)

Schedule: 8:00am-5pm M-F

Job Description

Eyemart Express is looking for professional and friendly Receptionist to serve as the first point of contact for guests, vendors, and others visiting the Home Office from 8:00am-5:00pm, Monday- Friday. Key responsibilities include greeting and checking- in guests when they arrive on-site, explaining how to navigate the office, answering/transferring phone calls, managing incoming/outgoing mail, helping with event planning, food orders, stocking print areas, snack rooms, and coffee bars, and other office management tasks. The ideal candidate has excellent communication and time management skills, a positive attitude, and a strong work ethic.

Key Responsibilities

  • Ensure reception area and lobby conference room is tidy and presentable
  • Greet and welcome guests as soon as they arrive at the office
  • Provide basic company information in-person and via phone/email
  • Direct visitors to the appropriate person and office
  • Maintain office security by following safety procedures and controlling access via the reception desk
  • Provide wifi and internet procedures to visiting guests
  • Answer, screen and forward incoming phone calls in a timely manner
  • Receive, sort and distribute daily mail/deliveries
  • Update calendars and manage schedule of meeting rooms
  • Order/stock front office and kitchen supplies and keep inventory of stock
  • Order flowers and gift baskets as necessary
  • Update bulletin boards and signage
  • Assist in processing employee anniversary materials and store award mailing
  • Assist in event preparation, set-up and tear down for all Home Office events
  • Negotiate appropriate pricing through vendors (food and beverage). Work with food and beverage vendors to ensure appropriate menu selections, headcount and final bill are accurate and receipts are received timely
  • Track and prepare expense reports for office, event and other expenses
  • Provide support and backup to the Executive Assistant
  • Perform other administrative duties as required
  • Please note: There will be times when this person is required to work non-business hours (Leadership Conferences, Board meetings, executive support, Team Appreciation Lunches, etc.)

Knowledge, Skills, and Abilities Needed

  • High school diploma required with some college preferred
  • 2-4 years relevant work experience as a Receptionist, Front Office Representative, Admin Assistant, or similar role preferred
  • Experience planning company events
  • Proficiency in Microsoft Office Suite
  • Hands-on experience with office equipment (e.g. computers and printers)
  • Solid written and verbal communication skills
  • Excellent organizational and time management skills
  • Ability to maintain confidentiality
  • Ability to indirectly manage people and resources to get projects completed;
  • Ability to prioritize and manage multiple tasks
  • Organized and detail oriented
  • Ability to work independently and/or in a team environment
  • Customer service attitude & mindset
  • Professional attitude, appearance, and positive attitude
