General Summary:
The Office Administrator offers administrative and clerical support for the Company’s office, and acts as an on-site liaison for the Human Resources Department.
Essential Duties:
Greet, welcome, and direct guests as soon as they arrive at the office, ensuring all employees, vendors, and guests are welcomed with a positive demeanor
Greets visitors who do not have office access in the lobby of the building in order to welcome them to the office for interviews and meetings
Ensure the office is fully stocked with office, kitchen, and bathroom supplies.
Reorders employee appreciation supplies & Company-branded items
Ensure the tidiness and safety of the office is maintained at all times
Daily restocking of coffee, snacks, and office supplies as needed
Manages relationships with office vendors to ensure maintenance and housekeeping functions are scheduled and carried out as appropriate; acts as the main point of contact for third party vendors that provide services to the office
Answers, screens, and directs phone calls to staff; takes messages and relays them as appropriate
Daily mail pick-ups from the two on-site mail locations
Receives mail, documents, packages, and courier deliveries and delivers or distributes items to the appropriate in-office departments to determine disposition and needed actions
Scans and stores mail for applicable in-office departments
Helps to coordinate events, cater lunches, and prepare the office for meetings/events as requested
Provides clerical support to the Human Resources Department
Opens and delegates personnel-related mail and packages for the Human Resources Department
Oversees the completion of applications for parking transponders and office access cards; acts as a liaison between property management and the Company for communication regarding such items
Ensures that workstations are set up and prepared for newly hired in-office staff
Acts a liaison for in-office staff and the Human Resources Department, directly sensitive personnel matters to the appropriate party in the HR Department
Reports safety concerns regarding the integrity of the office to the Human Resources Manager and assists in addressing them
Assists the Human Resources Manager with employee recognition, engagement, and appreciation efforts
Assists with Human Resources related functions and projects as assigned
Maintains the strictest confidentiality of personnel-related information
Follow all policies and procedures for the department and Company
Maintain compliance with the Company's Attendance and Punctuality expectations
Maintain compliance with established timekeeping policies which includes accurate recording of hours worked, working only pre-approved Overtime, and requesting Unpaid or Paid Time Off in accordance with Company Policy
Establish and maintain an understanding of how to utilize the Company's timekeeping software, ensuring that additional training is requested as needed.

Job Specifications: (Knowledge, skills, abilities and experience normally required for competent performance)
Knowledge and Experience
High School Diploma or GED required
Minimum 2 years of relevant office experience preferred
Skills and Abilities:
Proven work experience as a Receptionist, Front Office Representative or similar role
Proficiency in Microsoft Office Suite
Hands-on experience with office equipment (e.g. fax machines and printers)
Professional attitude and appearance
Solid written and verbal communication skills
Ability to be resourceful and proactive when issues arise
Excellent organizational skills
Multitasking and time-management skills, with the ability to prioritize tasks
