Job Description
The primary objective of this position is to provide clerical and administrative support, greet and direct customers, vendors, employees, and other visitors both in person and over the phone.
Job Requirements: include the following essential duties and responsibilities. Other duties may be assigned.
Ensure accurate, efficient, and professional reception of individuals calling or coming into the office.
Provide clerical support; Process payments from incoming calls from customer such as credit card; process credit card orders from shipping; Assist in posting and applying payments to customers accounts accordingly from all types of payment (wires, credit card, checks); Facilitate customers requests (i.e., copies of invoices, credits, or statements).
Ensure and maintain all paperwork records. Includes organizing, scanning, and filing.
Maintain office supply inventory; purchase and dispense office supplies, including paper products. Generate purchase orders for approval and submit with packing list once supplies are received.
Open and distribute mail, process outgoing mail, meter, and affix postage.
Education and/or Experience:
High school diploma or general education degree (GED); 1-2 years reception/front office experience. Ability to multitask, manage multiple priorities and projects with varying deadlines. Handle multiline phone system. Attention to detail. Excellent oral and written communication skills, good grammar, voice and diction. Strong working knowledge of MS office (Word, Excel and Outlook), Adobe Acrobat, Internet based Time and Attendance tools, CRM Software, and small office equipment (fax, copier, scanner, postage and mailing machines).
