Job Description: Receptionist/ Office Assistant
Job Purpose:The Receptionist plays a crucial role in ensuring the smooth and professional handling of all incoming phone calls, greeting clients, and directing them appropriately. As the first point of contact for the company, the Receptionist sets the tone for the office by providing a warm and professional image. In addition to this, the receptionist also ensure that the office is running smoothly each day and helps other office staff with tasks needed to keep daily operations running smoothly.
We are looking for someone with a super positive upbeat attitude that wants to start at an entry level position and work up to having more responsibility in the company. This person would love finish projects and organization and helping others.
Essential Duties and Responsibilities:
- Welcome clients and visitors professionally and warmly.
- Route clients to meetings and assist in setting up for client meetings.
- Answer and screen all incoming phone calls, providing basic information when needed.
- Maintain the flow of the office to keep operations running smoothly.
- Organize office operations and procedures, including helping with admin tasks such as paperwork, uploads, calendars, administrative clean up.
- Execute daily opening and closing checklists. Including: light cleaning of kitchen daily and taking out the trash daily.
- Receive and sort daily mail/deliveries/couriers correctly.
- Order and maintain office supplies with prior approval.
- Keep the reception area, meeting area, and desk well-organized and free of clutter.
- Assist in any office tasks and administrative help. Including, company meeting set up, Running errands, Walking dogs, etc.
- Contribute to team effort by performing clerical duties such as filing, organizing documents, photocopying, etc.
- Learn and apply all company policies and procedures.
Supervisory Responsibilities:
- No supervisor duties.
Desired experience:
- High school diploma or GED.
- Minimum of 2 years of experience in a related field.
- Dependable, highly organized, systematic, with excellent multitasking ability.
- Attention to detail and ability to complete tasks with accuracy and prioritize effectively.
- Computer skills, including knowledge of Microsoft Word and Excel.
- General office equipment knowledge (copy machine, fax, computer, etc.).
Must have a working car to drive and run errands as needed.
Language Skills:
- Must speak English. Any other language is a plus. Ability to respond effectively to sensitive inquiries or complaints.
Physical Demands:
- Sitting for periods up to 4 hours at a time, looking at computer screens.
- Ability to lift and/or move up to 10 pounds.
- Must be able to type 50 WPM.
Work Environment:
- Shared work environment. In an Office
Hours:
- Full-time hourly position, minimum 40 hours per week in the office.
- Monday to Thursday, 8:30 am to 5:00 pm. Fridays. 7:30 to 4:00 PM
