Under general supervision, performs clerical and related work of moderate difficulty in support of the University’s purchasing, contract and travel programs.
Typical Duties/Job Duties:
- Serves as receptionist for the office, greeting visitors for the Contracts, Purchasing and Travel Office. Reviews requisitions and approves purchase orders. Obtains competitive bids for procurement of items over $15,000. Ensures compliance with purchasing policies and state regulations. Evaluates procurements for compliance with the TTUS Contract Management Handbook.
- Conducts workshops and training materials for department personnel related to purchasing and usage of the PCard. Reconciles and audits all PCard transactions on a monthly basis. Oversees the operations of office supply purchases as well as Amazon approvals. Assists with Maintenance of Vendor records through PaymentWorks. Starts the initial process of direct deposit set up in USAS.
- Assists with administering the University PCard Program. Produce transparency reports and update information on the departmental website through IT Web Services team. Assists Director of Contracts and Procurement with departmental budget reconciliations and goal setting. Order office supplies for the department.
- Provides support as needed with GASB and other state reporting requirements. Assist with audit requests by pulling data and compiling information. Provides assistance and support to the Purchasing & Travel Supervisor and the campus community in the areas of the Purchasing Department as well as Contracts and Travel Office as necessary.
- Interacts in a professional and service-oriented manner with faculty, staff, vendors, and others contacted in the course of work. Serves on University committees and advisory groups; attends professional conferences, training and other meetings. Performs other duties as assigned.
Knowledge, Skills and Abilities:
- Knowledge of clerical and general office procedures and practices;
- Knowledge of purchasing forms and procedures;
- Knowledge of basic mathematics including addition, subtraction, and division;
- Ability to type 35-45 WPM;
- Ability to organize and complete tasks in accordance with instructions or procedures;
- Ability to perform work requiring accuracy and attention to detail;
- Skilled in the operation of general office equipment and computer keyboards;
- Skilled in oral and communication;
- Skilled in interpersonal relations.
Minimum Qualifications:
Possession of a high school diploma or GED certificate. Three years of general clerical or equivalent experience; OR two years of purchasing office experience.
Physical Requirements:
Requires prolonged periods of sitting, occasional walking, and intermittent bending & standing; medium level manual dexterity; occasional lifting up to 15 lbs.
Works in a pleasant, well-lighted, temperature controlled environment; periods of heavy workload and stress.

Pay: $29,837.00 - $31,000.00 per year
