Leading electrical & architectural sign company Tube Art Group is looking for a motivated and experienced Project Coordinator to join our outstanding team! This role entails overseeing the administrative tasks associated with our sign projects. You will provide support to our sales and project management team at our Seattle, Portland, and Yakima facilities in all areas of the projects from beginning to end. This position is open to candidates in the Seattle, WA and Portland, OR areas and will be hybrid-remote with the expectation to be in office at least two days a week.
Essential Duties and Responsibilities:
- Review details of projects with sales and project managers to ensure all required paperwork has been obtained for the project.
- Assist with the creation of job folder.
- Generate purchase orders for subcontractors.
- Collaborate with production and design to incorporate engineering.
- Analyze and interpret city code requirements for signage.
- Assemble permit packets and upload the information to the municipalities for approval.
- Retrieve approved permits from respective agencies and secure electrical permits.
- Make necessary corrections to keep the permit process moving.
- Document all payments, collect receipts, and submit to accounting.
- Communicate with sales and project management departments to ensure delivery dates are kept.
- Call in to finalize signage permits.
- Update job status frequently in Smartsheet.
- Upload permits and receipts to job folders.
- Generate work orders for surveys.
- Travel to local job sites may be necessary for permitting processes.
Required Qualifications and Work Experience:
- 2+ years’ construction project management or other related professional experience preferred
- Prior sign project management experience strongly preferred
- Excellent computers skills, including proficiency in MS Word, Excel, Outlook, Google Earth, and Adobe Acrobat.
- Highly organized, dependable, and punctual.
- Excellent time management skills and ability to multi-task and prioritize work.
- Ability to work well under pressure.
- Excellent written and verbal skills.
- Attention to detail and problem-solving skills.
- Ability to communicate effectively at all levels within and outside the organization.
- Ability to collaborate effectively with customers and coworkers professionally and tactfully.
