Description:

Principal Function: The Project Coordinator is responsible for assembling a project team and overseeing projects and workflow from the onset of the project initiation phase, through the project implementation phase and the project closure phase, ensuring that all projects are delivered on-time, within scope, and within budget.


Essential Duties and Responsibilities:

· Assemble Project Team (internal) - Recruits project team members from the functional area, e.g., reagent, assay development, etc., as well as the business office.

· Participates in the initial meeting with the client and records client meeting minutes to distribute to all meeting attendees.

· Works with the project team Leader/Associate Director to complete the SOW document to lay out the established project plan. This Project Plan can include activities, deliverables, resources, costs, time, etc., to enable delivery of the contract. This document will be used to draft the initial proposal/quote.

· Manages all client communications, regarding project updates, shipping information, etc.

· Communicates all B2S services to clients.

· Ensures that B2S is a full-service operation and meets all potential needs for the client.

· Help to communicate strategies to increase client business to Team Leaders. Relay Opportunities and Gaps.

· Communicates project implementation plan to management and the client.

· Serves as the primary point of contact with the client.

· Collaborates closely with the client to assure that alignment on project scope and specifications for deliverables meets their needs.

· Arranges and facilitates recurring meetings with the client to ensure communication on process and timeline.

· Works with the client to facilitate contracts, billing, meetings, and resolve any issues.

· Records and distributes minutes from all meetings to all stakeholders.

· Monitors and communicates project implementation by those areas responsible for project delivery and guides the project team through all phases of a project.

· Works with Team Leaders to help prioritize tasks based on timelines, urgency, and available personnel.

· Coordinates with Team Leaders and the laboratory to ensure timelines are met, project risks are minimized, and determines whether any work is needed outside of the Statement of Work (SoW).

· Identifies deviations from the project plan proactively.

· Works with the project team to identify means to perform the plan, or alternatively proposes changes to the project scope, project schedule, and project costs, which are acceptable to management and the client.

· Proposes changes to the contract in the case significant changes to project scope or specifications are requested by the client.

· Requests approval from management and the client for Statement of Work (SoW) changes, in partnership with functional area and business area team members, in the event a significant change is deemed necessary.

· Coordinates internal resources and third parties/vendors and ensures resource availability and allocation.

· Receives invoice questions and, in turn, passes them on to the business office.

· Gathers all billable project work and submits to the business office for imputing into Salesforce.

· Performs risk management to minimize project risks.

· Explores the opportunity to supply synergistic services available from B2S Life Sciences to the client.

· Coordinates with other Project Managers, Team Leaders, and management to strive for consistent and streamlined approaches to project management and continuous improvement in project management practices.


Project Coordinator, Laboratory/Consulting Additional Duties and Responsibilities:

· Monitors pass through costs and works with the Billing Department to ensure line items are correctly invoiced.

· Creates Submissions in SalesForce for any new client material coming into B2S Life Sciences.

· Obtains hours worked towards the project. Provides these hours to the Billing Department at the end of each month.

· Maintains relationship with Cocalico for Laboratory Antibody Projects and prepares immunization schedules and pricing for new projects.

Requirements:

Education and/or Experience:

· Bachelor’s Degree (B.S.) or master’s degree (M.S.) in a science field; and one or two-years related laboratory experience and/or training; or equivalent combination of education and experience is required.

· Previous project management and laboratory experience within Pharma is preferred.

Work Environment

  • The work environment is in an office and laboratory environment.
  • Travel up to 5% percent of the time.
  • Frequent use of a computer.
  • This position requires working independently, as well as part of a team.
  • While performing the duties of this job the noise level in the work environment is usually moderately loud and has moderate temperatures.
  • Personal protective equipment is required to be worn in designated lab areas: closed-toed shoes, laboratory coat, safety goggles, and gloves.
  • This position requires the use of all general office and lab equipment.
  • Potential exposure to pathogens.
  • While B2S Life Sciences is usually open from 8:30 a.m. to 5:00 p.m., Monday through Friday, this position may require work beyond these hours and on the weekends and holidays. It also may require the ability to drive a Company-owned or Company-leased vehicle and/or drive one’s own vehicle on B2S Life Sciences business. Thus, a valid driver’s license and a demonstrated safe driving record may be required.
