Job Summary
The Office Administrator will play a crucial role in ensuring the smooth operation of our organization by overseeing administrative tasks, managing office procedures, and supporting various departments. The ideal candidate will have exceptional organizational and communication skills, a strong attention to detail, and a passion for supporting our mission to provide essential services to children and families in need.
Responsibilities
-Assist in onboarding new employees and volunteers, including training on office protocols and software tools.
-Implement and maintain office policies and procedures to enhance productivity, compliance, and accreditations.
-Manage office supplies, equipment, facilities, vans, and car seats to support a conducive work environment and ensure efficient workflow.
-Manage day to day HR functions including providing and tracking training
-Manage day to day IT functions in coordination with outside vendor
-Complete monthly invoicing and denials in coordination with CFO due by 10th of the month
-Manage incoming referrals in coordination with Case Mangement Supervisor within 48 hours
-Conduct health and safety audits, emergency drills, etc., as required Monthly and Quarterly
-Collect staff car insurance at appropriate intervals and work with insurance company representatives on running MVRs.
Qualifications
- A bachelor's degree or equivalent work experience
- Proven experience in office management or administrative roles, preferably within a nonprofit or child services organization.
- Strong organizational skills with a keen attention to detail and the ability to prioritize tasks effectively.
- Proficiency in office software and tools.
- Excellent verbal and written communication skills, with the ability to interact professionally with diverse groups.
- Understanding and commitment to the mission and values of the nonprofit child services company
- Highly organized with excellent time management skills and the ability to prioritize projects
