Job Summary
The basic function of the Pharmacy Office Assistant is to complete tasks and projects assigned by the administrative officers (Office Manager and Pharmacy Manager) to ensure efficient pharmacy operations, compliance, and organization. This person will be comfortable working with a high degree of attention to detail and discretion as well as incorporating new and effective ways to achieve better results.

- Complete tasks assigned by the pharmacists.
- Update records ensuring accuracy and validity of information
- Scanning, photocopying and filing documents.
- Create content to post on the company’s social media outlets.
- Prepare presentations according to instructions given.
- Conduct online research for various projects.
- Performs any other special duties assigned by the Pharmacist.
- Reconcile client payments.
- Make daily bank deposits.
- Office supply inventory management.
- Support equipment failures/issues
- Order supplies when necessary
- Collect daily mail
- Collect and file packing slips/invoices for quality assurance.
- Send invoices to Corporate Accounting
- Coordinates pharm-wide gatherings/events
- Submit all company expense receipts to SAP Concur
- Escort vendors around pharmacy
- Perform other duties as assigned by management
Skills
- Ability to communicate with pharmacy team members and business associates in a professional manner.
- Ability to speak with poise, voice control, and confidence, using correct English.
REQUIREMENTS
- Education – Minimum of a High School diploma or equivalent (GED)
- Skills, knowledge and abilities – The Technician should have the ability to fulfill the duties and responsibilities of this position including:
- Ability to both work independently and work well with others in a multi-functional fast paced environment.
- Must maintain confidentiality of patient profiles and protected health information (PHI).
- Must have strong team building skills.
- Excellent organizational and time management skills.
- Analytical abilities and aptitude in problem-solving.
- Excellent written and verbal communication skills.
- Proficiency in word processing software, scanning applications, and various administrative office technologies.
- Flexibility and the ability to prioritize new tasks as they come in.
- Reasoning Ability – Ability to apply principles of logical thinking to a wide range of intellectual and practical problems. Ability to deal with a variety of abstract and concrete variables. Ability to manage a variety of activities simultaneously. Requires analytical and statistical knowledge using general business mathematical skills.
