POSITION SUMMARY
The Medical Office Assistant supports daily operations of the Medical Office by participating in and performing various tasks. The Medical Office Assistant works in collaboration with most departments, including but not limited to the clinical back office, front office, pharmacy, inventory management, etc.
PRIMARY ACCOUNTABILITIES
- Process all mail received and distributes appropriately at the main clinic site (DHC)
- Serves as gatekeeper for the individual care team’s patient paperwork that they are assigned
- Meters the mail for the Expanded Services Building (ESB), Administrative Service Center (ASC) and the Eastside Health Clinic (EHC)
- Monitors incoming faxes and distributes faxes to appropriate fax folders
- Monitors and checks routing bins for outgoing faxes, medical records, letters, patient pick up items, etc.
- Performs autoclaving of instruments and autoclave maintenance at the main site (DHC)
- Monitors Point of Care Testing (POCT) supply inventory and orders to replenish as needed for all sites
- Replenishes stock from Central Supply in accordance with Kan Ban card requests. Stocks patient rooms from Central Supply
- Provides back up for Stericycle waste process
- Monitors vaccine fridge temperature at all sites
- Replenishes US supplies in restrooms at all sites
- Assembles OB folders
- Replenishes vaccine information sheets on the GEMBA and in the Residency clinical area
- Help monitor / answer office backline
- Assist clinical teams with in-basket work for non-clinical tasks. These include but are not limited to:
- Calling patients with normal lab results
- Deleting duplicate refill requests
- Complete non-clinical portions of paperwork
- Scheduling patient visits
- Contact patients, pharmacies, outside providers with care team’s guidance
Operational Excellence
- Maintains a current up-to-date knowledge of new policies and procedures
- Works to create an efficient, highly productive environment utilizing LEAN methodology
Relationship Management
- Develops collaborative relationships with all departments, managers, and staff
- Proactively looks for opportunities to provide enhanced clinical administration support to clinical teams
POSITION REQUIREMENTS
Education
- High school diploma or equivalent
Qualifications and Key Skills
- Possess current, valid WA state driver’s license
- Access to reliable vehicle daily with liability insurance coverage
- Demonstrated success with clear thinking and ability to reorganize as needed
- Demonstrated success in working independently, prioritization and problem solving
- Demonstrated success in organization abilities
- Demonstrated success in computer skills including the ability to use computer for electronic health records and reasonable keyboard skills
- Demonstrated success in customer service/Patient services or working with the public.
- Knowledgeable in basic medical terminology
