Job Description
Primary Duties:
- Work closely with leadership at multiple locations to deliver excellent customer service related to the entire payroll and onboarding process.
- Coordinate with database administrators, human resources, and other departments to ensure proper flow and maintenance of employee data.
- Answer and resolve all payroll and onboarding related issues timely. Escalate issues as necessary.
- Ability to review, monitor, and calculate wages, tax deductions, overtime, etc. based on state and federal laws and regulations.
- Ensure proper coding on all earning and deductions by labor allocations for accounting.
- Process and monitor garnishment orders.
- Maintain and document all transactions with processing payroll.
- Gather and process data from other databases into Prism HR.
- Accurately enter and document changes as needed to ensure precise and timely payroll processing.
- Ensure company is set up for all states necessary for employee/employer/ unemployment taxing.
- Ability to balance payroll against other databases/reports.
- Conduct payroll compliance checks ensuring employees are paid accurately and per Federal and State regulations.
- Complete Certified Payroll Reports for assigned Prevailing Wage Jobs
- Continually upgrade knowledge and skill base related to the systems, processes, and requirements to maintain capabilities at the highest possible level.
- Keep current with Federal and State tax changes as they occur.
- Ensures that payroll related transactions follow external and internal policies.
- Prepare, generate, and manage weekly, bi-weekly, monthly, quarterly, annually, and ad hoc reports as necessary.
- Complete employment verifications
- Complete Forms I9, Verifies I9 documentation and maintains I9 files
- Submits online background checks
- Effectively communicates with clients, management and team members on an as needed basis
- Professionally assist applicants with navigation of onboarding processes while ensuring confidentiality and positively-representing APA Services
- Assist with special projects as needed.
- Perform other job-related duties as assigned.
Required Qualifications:
- Associate’s degree with 2 years’ experience while using a full-service payroll processing system
- Multi-state payroll processing experience required
- High level of integrity
- Strong attention to accuracy and detail
- Strong interpersonal and communication skills
- Ability to work independently and as part of a team
- Strong organizational planning and time management skills
- Ability to protect confidential information
- Ability to perform in a fast paced and flexible environment
- Working knowledge of MS office software Excel, PowerPoint, Word

- Strong analytical skills
- Excellent communication skills, both written and verbal
- High level of initiative and professionalism
- Bilingual in English and Spanish (reading, writing, and speaking)

- Previous experience working with Prism HR
- Prevailing Wage and Certified Payroll Reporting experience
