DNV Energy Systems Markets and Risk group is seeking an [Part-time] Office Administrator to join our team. This group is dedicated to being our clients trusted advisors on addressing how their business adapts to the changing energy market. We are focused on helping our customers improve their energy efficiency and clean energy policies and develop and implement successful program offerings.
This position will be for 24 hours/week and be based out of our New York City, NY office.
What You ll Do
We are seeking a candidate who will maintain the daily operations of the NYC office and play a crucial role in fostering a positive and welcoming culture in the office. As part of our team, you ll provide general office support including ordering office supplies, maintaining supply cabinet, entering procurement requests, etc. The successful candidate will be an effective communicator with excellent people skills who will perform general office related work and administrative duties (such as, data entry, equipment inventory management, etc.) and provide administrative support to team members and various departments as needed. Below we include a wide range of typical job expectations for this position.
Office Administration for NYC office
- Maintaining a well-organized, efficient office environment
- Serve as the primary point of contact for New York City office for all internal communications
- Support event planning and coordination for company events
- Plan and organize weekly office lunch
- Greet clients and visitors in a friendly and professional manner
- Manage and organize office supply inventory
- Work with the IT department to maintain office IT equipment and electronics
- Handling incoming and outgoing mail and/or other courier shipments and receiving small packages
- Working with organization s real estate, and HSE (Health, Safety, and Environment) teams to ensure the office is compliant with company policies and procedures
Equipment Management and Inventory
- Ongoing Monitoring and Monthly update of the equipment tracker. Follow up with staff as required to for timely return of equipment
- Coordinate equipment shipment between various offices for projects
- Ad hoc travel to other northeast regional offices (e.g., in MA and CT) for in-person support. This would include equipment storage room organization, changing batteries, collecting items for calibration
- Label and upload new equipment items to Asset Panda (organization s equipment tracking system)
Other supporting administrative tasks
- Prepare and help publish organization s weekly newsletter
- Provide ad hoc administrative support to teams across the organization / region. E.g., IT equipment purchasing
- Data entry into various company databases

As required by the Pay Transparency laws in Colorado, New York City, California, Washington, and Connecticut, DNV provides a reasonable compensation range for roles that may be hired in those locations. Actual compensation is influenced by a wide array of factors, including but not limited to skill set, level of experience, and specific office location. For the states of Colorado, New York City, NY, California, Washington, and Connecticut only, the range of starting pay for this role is $25- $35 per hour
About you
What Is Required
- Associate degree in Business, Accounting, Sustainability, or related discipline
- Excellent written and verbal English communications skills
- Strong interpersonal skills with a customer-service attitude and team-oriented spirit
- Excellent organizational skills and attention to detail
- Self-motivated, organized and ability to perform highly varied tasks
- Willingness to assist with various administrative tasks as needed
- High proficiency with Microsoft Office (Word, Excel, Outlook, etc.)
- Willingness and ability to travel up to 20% of the time as required. Travel will be mostly regional to other DNV offices in the Northeast US
- Must possess a valid driver s license and be able to rent and drive a car and travel on public conveyances when required
- We conduct pre-employment drug and background screening
What Is Preferred
- Bachelor s Degree or equivalent in Business, Accounting, Sustainability, or related discipline
- Prior experience or interest in energy and/or utility industry
- Willingness to take initiative to identify opportunities for operational efficiency and complete necessary tasks
- Demonstrated technical writing/ editing and/or presentation skills
- Ability to meet deadlines in a fast-paced environment
- Experience using Salesforce CRM and Opportunity Management
