SuperSelby is a leading private school bus transportation company in NYC that provides the highest quality, most compassionate care to students/families.
The Office Administratorwill assist in coordinating office activities and operations while providing administrative support to management.
Duties/Responsibilities:
- Directing all office activities to maximize office efficiency
- Collect & process timesheets
- Performing data entry, reporting, filing, copying, scanning, records maintenance
- Welcoming and assisting candidates and new employees with on-boarding process
- Performing other related duties as assigned / contributing to positive team outcomes,
- Managing emails, letters, packages, answering phone calls and mail distribution
- Maintaining office supplies inventory
- Maintain employment ads; reviews applicants using applicant tracking system and contact qualified employees for job openings on an ongoing basis,
- Input employee data into compliance software and assist in ensuring School Bus Drivers remain 19A compliant with the DMV regs
- Assist with registering employees into the FMCSA Drug & Alcohol Clearinghouse
- Work closely with drug testing compliance vendor to oversee drug & alcohol testing program
- Organize the discipline of employees accordingly while remaining compliant with union regulations,
- Process Workers Compensation claims appropriately,
- Manage time off requests and plan day to day staffing alongside dispatchers to ensure routes are covered appropriately,
- Recruitment and staffing
Required Skills/Abilities:
- Strong communication, organizational and time management skills a must
- Self-sufficient, exceptional work ethic with ability to meet deadlines
- Ability to prioritize tasks and problem solve
- Team player who can work with a diverse community
- Comfortable handling confidential information
- Proficient with Microsoft Office Suite
Education and Experience:
- College degree preferred or some college with equivalent work experience
- 3+ years of Administrative experience
- Previous experience as an Office Administrator or similar role
- Experience working in a compliance/results-oriented environment
Preferred Experience (but not required):
- 19-A Administrative knowledge (DMV & DOE Requirements)
- Experience in Transportation/School Bus Industry a plus
- Prior experience gained from a human resources role (e.g, labor/employee relations, recruiting, payroll, benefits)
- Bilingual English/Spanish
