- Provide day-to-day legal and executive support for 2 attorney's
- Word processing and data entry
- Drafting shells/first drafts of pleadings and discovery, as directed
- Proofread documents for grammar, spelling, and formatting
- Prepare automated TOC and TOA, as needed
- Coordinate service of process of pleadings and other papers
- Prepare and submit new matter request forms
- Prepare draft engagement letters/fee agreements
- Maintain online files (records clerk will maintain hard copy files)
- Calendar deadlines and court hearings and coordinate meetings and depositions
- Communicate (both orally and in writing) with clients concerning matter status and with opposing counsel, as needed
- Communicate with court personnel concerning court filings and/or upcoming hearings
- Schedule CourtCall/LACourtConnect appearances and reserve motion hearing dates
- May be requested to perform other duties not listed above appropriate for your role
What we are looking for:
- Minimum five (5) years of relevant experience as a Legal Practice Assistant, with experience in civil/business litigation preferred
- BS/BA degree
- Client-service driven
- Effective communication skills and sound judgment
- Must have professional phone demeanor
- Excellent writing skills (both in terms of grammar and spelling) in order to communicate effectively with others via email and written correspondence
- Ability to work effectively with others in a small office environment
- Must be fluent in English (written and spoken); other languages a plus, especially Spanish
- Extensive knowledge of both State and Federal Court procedures, as well as e-filing
- Outstanding interpersonal skills
- Excellent attention to detail
- Excellent organization, time management, and project management, with an ability to learn new procedures and adapt to existing procedures
- Ability to maintain and track internal and external communication and workflow
- Strength in multi-tasking in a highly demanding, deadline driven environment
- Exercise independent problem-solving techniques to resolve administrative problems in a time-efficient manner
- Understanding of confidentiality and the fiduciary duty owed to the business of the Firm and its clients.
- Proficiency with Microsoft Office, Outlook, Word, Nuance, Excel, and Essential Forms (Sharefile, GreenFiling, Worldox, Zoom, Teams Meeting/other video conferencing platforms, Big Hand, LawToolBox, Docusign, and/or PowerPoint are plusses)
- Knowledge of unlawful detainer and Civil processes preferred, but not required
